Many large organizations are moving their archived data, particularly email data, to a cloud archive solution. Which vendor do you choose? What criteria should you use to help make the right decision? We believe that many cloud archive vendors are fooling you, particular in relation to: 1 – Indexing. They believe that everything has to be indexed up front, as data is added to the archive. We disagree. Indexing up front will likely slow down the speed that data can be ingested to the point where it will be very costly to keep up with the high volume of data that is typical in large enterprises. Also, indexes many suffer from corruption over time, which means that they’ll need to be reindexed when they’re required. Finally, indexing technology changes, another cause for reindexing. 2 - eDiscovery Capabilities. Cloud Archive vendors often try to do all of the sophisticated eDiscovery activities that you might require. But they don’t have the depth of features of sophisticated, dedicated eDiscovery solutions do. In addition, most large organizations use dedicated eDiscovery platforms (like Relativity or Nuix) or send data to a Legal Service Provider for review, so complicated features in a Cloud Archive are often unused. 3 - Data Sovereignty. We believe that data should be kept in its native format, on industry standard storage platforms and that it shouldn’t cost money to extract your data. Many cloud archive vendors do the opposite of this: charging for data access and extraction, storing data in proprietary formats with little or poor API-level access.
