Compromise: Look for creative solutions that partially meet both sides' needs. Example: Deliver a scaled-back version now with plans to expand later. Prioritize: Focus on the most critical requirements first. Example: Determine the client's top priorities and deliver those. Educate: Help the client understand the team's limitations. Example: Provide examples of similar projects to illustrate the team's capacity. Manage expectations: Align expectations early and often. Example: Regularly update the client on progress and any changes to the timeline or scope.

Discuss, discuss and be open and honest. One of the most common issues when working with teams is that the team leader never shares the bigger picture or any problems that have arisen. Sharing is caring and one would be surprised how a team together can go the extra mile. Of course it is of utmost importance to realign with the client team. Work together to find a deadline that will work or propose to send the project in pieces, focusing first on the higher-concern areas.

When a client’s expectations clash with my team’s capabilities, finding common ground requires transparent communication and a pragmatic approach. First, I would meet with the client to clarify their expectations and understand their priorities. Then, I would assess my team’s current capacity and capabilities to determine what is feasible. In a consulting engagement where a client demanded faster delivery than my team could manage, I presented a realistic timeline, highlighting the risks of pushing too hard, such as reduced quality or burnout by offering alternative solutions such as phased delivery, reallocating resources, or focusing on high-impact tasks.
