Office Admin Manager

We’re seeking a highly skilled and experienced Office Admin Manager to manage and work alongside administrative team to oversee the efficient and smooth operations of our office spaces.


Responsibilities

  • Manage and coordinate the day-to-day operations of multiple office locations globally.
  • Oversee office expansion projects, including space planning, budgeting, and coordinating with contractors and vendors.
  • Plan and execute office moves and relocations, ensuring minimal disruption to operations.
  • Set up new offices, including procurement of office furniture, equipment, and supplies.
  • Develop and implement efficient office management processes and procedures.
  • Ensure compliance with health and safety regulations and maintain a safe working environment.
  • Manage office budgets, track expenses, and negotiate contracts with vendors.
  • Coordinate with various internal teams to support their office-related needs.
  • Serve as a point of contact for facility-related issues and address them promptly.
  • Supervise and provide guidance to office support staff.
  • Organize social, recreational and employee engagement activities.

Skills and Qualifications

  • Proven experience in global multi-office management, overseeing operations across different locations.
  • Demonstrated experience in office expansion, office move and relocation projects, and new office setup.
  • Fluent in English and Cantonese, with excellent verbal and written communication skills, good Putonghua is nice to have.
  • Strong organizational and multitasking abilities to manage multiple office spaces effectively.
  • Knowledge of facility management principles and best practices.
  • Proficient in using office management software and tools.
  • Strong problem-solving skills and ability to handle unexpected situations.
  • Excellent interpersonal skills to collaborate with cross-functional teams and external stakeholders.
  • Proactive mindset with the ability to identify areas for improvement and implement effective solutions.
  • Attention to detail and ability to ensure high standards of cleanliness and functionality in office spaces.
