Facilities and Admin Executive

We’re on the lookout for a Facilities and Admin Executive to join our team. Could that be you?

What You’ll Do:

• Coordinate repairs and maintenance for office spaces, ensuring minimal disruption to daily operations.
• Liaise with external vendors and contractors to oversee maintenance work.
• Manage the procurement process, including obtaining quotes, processing invoices, and maintaining communication with suppliers.
• Monitor inventory levels and reorder supplies as needed.
• Oversee general administration of security and janitorial services.
• Collaborate with the Accountant to prepare and submit finance-related documentation on time.
• Handle visa applications and travel arrangements for employee overseas visits.
• Assist in organizing and executing company events, ensuring smooth logistical coordination.

Qualifications:

• Bachelor’s degree in Facilities Management, Business Administration, or a related field.
• 2-4 years of experience in a similar capacity.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite.
• Strong attention to detail, accuracy, and prioritization skills.
• Ability to manage multiple tasks and meet deadlines.
• Strong negotiation skills for dealing with suppliers and contractors.
• Ability to work independently and as part of a team.
