    Today marks one year since Visionest Institute (Ukraine) at the start of the training formed Team #9 from six strangers to work with Rivne companies.     "The winner takes it all": Go2Export wins the race in export consultants mastery! On May 22, 2024, our nine-month studies at the #exportconsultantsmastery program by the Visionest Institute (Ukraine) and the Entrepreneurship and Export Promotion Office (Ukraine) came to an end. It was an incredible time, undoubtedly challenging, but very effective and inspiring. We are grateful for the trust of Rivne businesses we worked with during the training modules: @vilis, @GERAsport (sportswear manufacturer), @glampingUA, Garne, ARTIMAT, @yamuna, @escada-m. We gave our all to address their export tasks. We are thankful to our mentors and advisors, organizers, and donors, without their support and high standards the learning wouldn't have been as effective. We appreciate our competitor teams—who are actually friends and sources of inspiration.     We dedicate one post to each training module to a company that has volunteered to become our client and help us work through the training material on real tasks. The main educational task of Module 7 was the study of logistics – conditions, ways, methods, and the order of delivery of goods from the manufacturer to the consumer. And our client is the distant descendants of the famous Atrides – the spice manufacturer from Rivne "Yamuna". If you look deeper, you will see that this is a company that implements one of the best possible business models for Ukraine, when a small Ukrainian company produces a well-known product that does not have any special differences. However, due to the organization of production, quality control, marketing decisions, and customer support, its products not only competed with foreign manufacturers in the Ukrainian market but also successfully implemented export models in Europe and Africa. Our task was to work out all possible logistics schemes. And it's not just the terms of delivery where FAS or DAP terms have been chosen. After all, export logistics is the entire process, from transport packaging of goods, transport requirements, permits, and accompanying documents, to determining the customs clearance procedure and risk assessment and distribution. We hope that our developments and recommendations will be useful even to such an experienced exporter. This module completes our learning work but does not complete our learning. We learn with each client, partner, and case. Today, our team together has more than 150 years of export experience, thousands of resolved cases, and satisfied customers, exported goods of Ukrainian production for millions of dollars. And each new case is the next common challenge when we are ready to prove to everyone that EXPORT CAN BE EASY. We believe that Ukraine is not just a participant in the world market, but also one of the future pillars. So, let's move forward to new Victories! Go2Export is always with you!     Today is not about exports... And it's not about the team.... Today we will talk about the process. The right process usually leads to the right result. The right process with pleasure – to a fun result, the feeling of which will always accompany you in your thoughts. And here humanity has invented a lot of methods to turn the first into the second. But it must be done wisely, skillfully, even elegantly. The team of the Export Consultants Mastery project (the names of all that are organized below) has done a lot to turn a rather boring online learning process into an exciting journey for interested listeners. The introduction of a competitive component into the process gave the participants adrenaline, increased the sense of team responsibility, and forced them to collaborate. The path traveled together gives hope for maintaining team spirit and the ability to achieve results in the future. And as a cherry on the cake of each module, each member of the winning team is rewarded with an interesting business book. In six modules, our team has already collected three books) Not a bad start for creating a knowledge library! And then – the evening and time to enjoy interesting information with a glass of good wine... Anything with Pino Nuar or Gewurztraminer. The rustling of the pages today is the aftertaste of the Victory, albeit a small one. P.S. Why about the aftertaste and not about the taste? Because the main taste is yet to come! We believe in him.     Ah, preparing for trade fairs, the Olympics of the business world! Here's your survival guide: Dress Code: Forget casual Fridays, it's all about suiting up like you're going to meet the Queen. But, if you want to stand out, maybe go for a neon-colored suit. You'll be the highlighter of the event! Elevator Pitch: Practice your elevator pitch until you can deliver it even if the elevator gets stuck between floors. Bonus points if you can make it rhyme. "Hey there, want to buy our stuff? It's good enough to strut your stuff! Remember – you have only swipe time to attract attention Swag Wars: Be prepared for the battle of the swag. Everyone's handing out pens and stress balls like they're going out of style. Stand out by giving away something truly memorable, like mini catapults to launch stress balls at your competitors' booths. Booth Design: Your booth should be flashy, inviting, and impossible to leave without talking to you. Networking: Networking at trade fairs is like speed dating, but with business cards. Practice your handshake, perfect your smile, and remember, it's not stalking if it's for networking purposes. Comfort Essentials: Bring comfy shoes. Seriously, those polished brogues might look slick, but after eight hours of schmoozing, your feet will feel like they've walked through the Sahara. Emergency Kit: Pack emergency supplies like band-aids for paper cuts, breath mints for those close encounters, and a secret stash of chocolate for when the stress hits the head. Post-Event Recovery: Plan your post-event recovery like you're a marathon runner. You'll need plenty of hydration (water, not champagne... well, maybe a little bottle of wine), a comfy couch, and Netflix queued up with your favorite show. You've earned it, champ! Remember, trade fairs are like the World Championship of networking – it's all about the game, the hustle, and making sure you have enough business cards to build a house of cards.     Finally, let’s talk about the main point – efficiency. You are always having to evaluate the efficiency of your visit or participation. And never trust the marketing people who are trying to explain to you that the trade fair process is the result already. Of course, it depends on the goals you were setting before for this action. So, you have to start the analytic process before you participate in the trade show. 1.   Analyze the efficiency of previous fairs a.    Cost per contact b.   Cost per lead; c.    Cost per sale; d.   ROI and so on. 2.   Set trade fair marketing goals based on previous experience: amount of contacts, leads, deals; cost per contact, lead, deal) 3.   Agree the KPI-s and measurements for every team member on the fair/booth After the trade fair, you have to evaluate: -       % of visitors in our booth -       Amount of contacts -       Cost per contact -       Cost per lead -       Cost per purchase -       Did the company over/underspend? -       Did they win because of the export consultant? If you are not satisfied with your results – go through a small list of main mistakes and try to analyze and fix the problem for the next fair. 1. Unclear goals 2. The target group was not visiting 3. Bad location 4. Inefficient booth 5. Passive staff 6. The company is not working with the contacts after the fair 7. Ignoring competitors 8. Company not recognized 9. Weak administration 10. Bad conditions for staff 11. Bad budget management We hope now you know more tricks and are ready to participate in the Business Olympic Games – Trade Show.     During the fair, all members of your team have to focus on their duties. It’s important to make Evening/morning wrap-ups and discuss the last day. Include in planning site briefings for the members who arrive late. For gathering contacts, you have to prepare some blanks with pre-ready points you want to know about a company. Mostly ( but not only ) contact cards include the company name, contact person and role, type of company, its interest, some additional comments - who talked to, his business card, does he wants to receive a newsletter or personal offers. Of course, on your both will come some existing clients. And your team has to be ready to collect more information that will be useful in future cooperation. All partners have to be in your CRM system, but always nice to have more info about financial situation, payment history, referrals from it and about it, ownership structure, current and new products and services/brand, quality and price level, service and maintenance policy, main customers, know-how, coverage of sales team, motivation, personal connection, requirements. During the exhibition you have control: creating first contact managing the conversation product presentation manage press contacts on stage and backstage arriving and leaving booth manager duty (coffee, snacks, cleaning booth, and stock room cleaning)            Remember, your booth has to be organized with enough backstage – your team always will need some relaxation or time to refresh. After the fair, you need to create a contacts database and analyze the efficiency compared to previous fairs and your expectation; evaluate and suggest improvements. In the next part, we will talk about the evaluation of the results of the exhibition.     So – you are a big and strong company and it’s high time to present you and your product on the international market. The best idea to start is participating in an international exhibition, which will give you some info about the international market and consumers. Be ready to look at huge differences in consumer habits in different countries! Why do you need to go there? It doesn’t matter whether are you a visitor or a participant, you have to set goals to achieve. The goals can be the following: -       Visibility – your clients have to know you are still alive and in good business health; -       Find new or warm-up contacts -       Get to know clients’ needs -       Sales to new and existing customers -       Introduce clients to the top management -       Map new trends -       Analyse competitors -       Test new product/service -       Monitor the development -       Meet new employees -       Media contacts Have you ever been to this event or not before, you have to choose a trade show for participation very carefully, taking into consideration your trade fair strategy do you want to get a customer or keep it? For this, you have to do some pre-trade fair jobs: -       Set trade fair marketing goals based on suggestions (amount of / cost per contact, leads, deals) -       Define partner profile -       Look at your booth location and visibility - Based on the previous, prepare the concept of actions and design of the booth -       Plan the Budget ( Rent, design, logistics, customs, samples, materials, travel, accommodation, personnel, events, marketing communication, catering ) -       Prepare marketing materials (business cards, presentation materials, references, promotion materials, press release, name tags, price lists (for distributors, end customers), gift bags, formal clothes, contact cards, meeting schedule). You have to discuss all conceptions of an exhibition with your team and manage them: -       Assign roles based on the actions -       Agree the job roles/descriptions -       Agree on the KPI-s and measurements for every team member -       Conduct a pre-fair training for the team to practice the assigned roles -       Create a work schedule for the team members for the fair -       Create motivation/energy-boosting schemes   And finally, you need to inform your clients and invite them to your booth. For that, create a long list based on the client's profile, choose channels (direct mail, own channels, newsletter, social media, trade press, channels of the trade fair organizer, direct calls, PR, etc), decide the marketing activities (free entrance, seminars, news briefings, presentations during conference program, etc), choose and design the message and create outreach plan.   You are ready for the journey!
