Ctrl O is an independent UK Cloud software provider. The company is built on the principles of openness, ethics and agility, and we use Open Source to build lean intelligent products that help make organisations more efficient. Our flagship product, Linkspace, is designed to fulfil an acute need for secure, digital transformation within the public sector. Many companies, not just those in the public sector, regularly need to manage and securely share data, as well as coordinate projects. Linkspace allows them to do this nimbly and far more cost effectively than with bespoke software. So, whether it’s monitoring KPIs, progress and budgets, maintaining training or equipment records, tracking maintenance tasks or manage personnel rosters, this robust digital tool links people to data to information to actions, seamlessly. Today the majority of our business is transacted with the UK Public Sector through the G-Cloud Framework. Current Linkspace customers include the Ministry of Defence and Ministry of Justice.

    We had a great day yesterday, setting up legendary bike fitter Kate Corden with our software LinkSpace. Kate has detailed sessions with clients where she works out exactly what measurements suit them best on each part of a bike, by trying different positions. Up until now, she has been storing all of this bike fit data in Excel. Now Kate will be adding the information for each client into LinkSpace, which has a lot of benefits. At first glance it looks like a table, but each row takes you through to a form. Here, Kate could decide exactly what she wanted it to looked like (and she can keep tweaking it over time). It’s a mixture of yes and no answers, drop down menus, and free text boxes. If Kate ticks yes to someone having back pain, or having cleats, she realised she wanted a text box to pop up where she can write in more information. And the same for other ailments. Text boxes were created, and things were shuffled around. As Kate uses the form, she may think of other changes to the layout, which can be made easily - LinkSpace is very configurable. It’s also secure - every change is recorded and saved, and it’s possible to go back in time to get any previous versions. You can also choose what information you view. Kate can set it up to just look at the clients she has next week for example. After an hour or so of the team creating the form, Kate started configuring it herself, adding extra boxes and answers. You don’t need to be technical to use LinkSpace, but if you are, it’s good fun! We dealt with some challenges- Kate’s clients originally fill out a Google form, and the data needs to be imported in, and at the end of the session, she creates a report on a PDF. This all worked just fine, and Kate is excited to get going. John Hayden and Dave Roberts came to London on the train from Yeovil, and Carla Francome joined too. The session took place in the White Hart pub, to make sure everyone was well fed and watered! Afterwards, the team did a quick tour of the back of Waterloo, to enjoy Roupell Street, and see the “Curly Whirly cake” at Konditor, apparently the best sponge in London. Good luck to Kate getting started- we’re always on the end of the phone if she has a question, but we sense she’ll be an expert within a week!

    This week we’ve had a visit from someone with such a specialist job, he’s called upon by businesses all over the world, from Singapore to Guatemala, Chicago, and even Australia. Stuart Rowson is an information security auditor for the international standard called ISO 27001. Information security (often known as infosec), refers to the processes and tools that are designed and used by businesses to protect sensitive information from modification, disruption and destruction. The ISO 27001 series sets out a framework for organisations to establish, implement, and operate an information security management system (known as an ISMS). “ISO Twenty-Seven Thousand and One does sound quite sci-fi” Stuart says. “I’m a big nerd so that suits me. I was a huge Star Wars fan growing up- The Empire Strikes Back was my favourite film. I was in punk bands when I was younger and still go to a few gigs. Although I’m more into gaming now- cyber punk”. But, Stuart admits, it’s not a great opener at parties. “When people ask what I do, I say “don’t ask!”. People have no idea what an information security auditor is and it is a bit of a conversation stopper!” But the core staff of Ctrl O are ready for the days conversation. This was to be an annual surveillance audit, which happens for 2 years, followed by a recertification audit, which takes place every 3 years. We completed this last June. The purpose of the surveillance audit is to ensure that businesses are continuing to comply with the requirements of ISO 27001, and maintaining their ISMS procedures. With clients such as the Ministry of Defence and Ministry of Justice, having robust infosec is the bedrock of the business, so taken seriously. Stuart says things like “can you update me on your security policy?” and “what have you outlined as your future potential risks?” A risk register is produced and discussed. It’s exactly how you’d imagine an ISO 27001 audit to be. Stuart’s company is called Wolf Infosec. “My surname Rowson means ‘son of wolf’” he explains, “and I have a wolf tattoo, plus I was wearing a wolf T-shirt on the day Inregistered, so it made sense”. He achieved the ISO 27001 Lead Auditor qualification, enjoyed the course and considered that it could be a good career choice. It’s an in-demand role so he immediately received interest from companies, but it took a while to become a full-time auditor as there is a lot of additional training and experience of audits required before you’re trusted to perform them independently. After around 6 hours of discussions, Stuart tells us that our certification has been maintained. Despite putting in a lot of work before the audit, it’s still a relief to know we’re on track. Stuart is heading to Wales next, and the team are left talking about wolves, Star Wars and punk. Anyone who says that information security is boring, is just not talking to the right people!     Yesterday, Carla Francome enjoyed seeing some flowers in a beautiful mews as she made her way through London to Andy Beverley’s house, for a crucial part of her induction- Information Security Training. Information Security is all about protecting sensitive information from unauthorised activities, and the goal is to ensure the safety and privacy of all critical data. Carla has worked on high-profile documentaries about data breaches in her time as a TV Producer- she has seen up-close the effect that hacks of personal data can have on victims, so this is a subject close to her heart. Like many companies, Ctrl O complies with a framework of policy processes and guidance, known as an Information Security Management System, or an ISMS. Carla has been forcing everyone to strip back from using acronyms, but does rather think that slipping “ISMS” into business conversations sounds like you know what you’re talking about, so she is letting this one through. Standby for some tech speak: the ISMS is all part of making sure that the company is compliant with the ISO 27001 security certification. ISO 27001 is an international standard to manage Information Security. Carla is keen to learn more about “ISO Twenty-Seven Thousand And One” because it very much sounds like something they’d say in an episode of Red Dwarf, she thinks, for those old enough to remember that. Andy had a presentation ready to go, and did a stirling job of explaining it all. (Big thank you to Giedre Kupliauskiene who was involved in this!) Andy explained that Information Security is the bedrock of the business- he described it as the “glue that holds everything together”, and that it can’t be bolted on the side. “If you don’t have a firm base for Information Security, everything will fall over” he said. Ctrl O provides software that is used by the Ministry of Defence, the Ministry of Justice and the Foreign and Commonwealth Office, so having robust Information Security is crucial. Andy went through formally a lot of what Carla has learnt already- like having safe passwords. Humans are poor at coming up with random words in passwords Andy has explained, so all employees use a random password generator. “Are you saying that ClownTVCycling01 would fail as random?” Carla said to the team when they last got together. It got a big thumbs down 👎🏻 There’s also a secure (confidential) method for storing passwords, and all of Ctrl O’s data is stored in a private cloud, which- given Carla grew up with half a dozen Care Bears, is music to her ears. There was a page on dealing with phishing emails, and a good diagram on how to tell if an email is fake. It was a thorough, useful session, and Carla is now available if anyone would like to discuss whether the ISMS now complies with ISO 27001 🤗 But she’s still refusing to believe that she can’t come up with totally random words.     We had a lovely time at the annual techUK dinner at the Royal Lancaster Hotel, where our Chief Executive Andy Beverley was shortlisted for a President’s award 🏆 He didn’t win, but it was fantastic to have been shortlisted and to see his name on the big screen with so many inspiring people. He was also in the brochure, and had photos taken with the other candidates too. It was like a real-life version of The Apprentice! Amol Rajan gave a funny and thought-provoking speech over dinner. He’s writing a book about AI next year. He said “the world is speeding up, but people often want it to slow down”. Interesting. A reminder to live in the moment! We’ve done a lot of work on our website over the last few weeks.     Here at Ctrl O, we’re getting ready for the President’s awards at techUK tomorrow night! Andy is shortlisted for the economy award and the black tie outfits are ready. We’re also rewriting our website as we speak. Carla Francome is working at Andy Beverley’s house, and within 5 minutes of arriving, there was code up on her computer. She has also been appreciating the huge vases in the bookcase. John Hayden and Oliver Taylor are beavering away in the office in Yeovil- John is coming to London tomorrow. If anyone else is going along, let us know!

    Our Support Technician Dave Roberts was, until recently, driving to work and back. It’s around a three-mile round trip, through Yeovil and just out of town. But after growing costs on his car from various things going wrong, he’s now parked it off road with a SORN, and is walking his commute instead. This week, our marketing manager Carla Francome took the journeys with him, to find out how he’s finding the change. “I did used to enjoy driving” he told her. “But I don’t miss it. I’m always busy thinking, but I’m naturally sendetary by nature perhaps. So it’s definitely got me moving”. Carla was enjoying the trees and gardens, and asked if Dave was too. “Well I don’t walk staring at the flowers very much!” He laughed. “But I do love having my headphones on. I power along, listening to songs like Muse, Supermassive Black Hole. It reminds me of my late teens- I used to walk everywhere- I thought nothing of walking 10 miles back then before I got a car”. It’s got Dave thinking about staying active, and we’re planning on getting some bikes at Ctrl O, so he can use one when he wants. There’s just one thing, he needs to learn to ride one first 🚲🚲 “I was far too busy playing with computers than pedalling about!” We’re looking forward to him learning soon. Watch this space!
