  • Doing less actual work in your business is easier than you think! Just streamline, add systems and utilise automation. But do you know where to start? With so many systems promising to simplify what you do and how you do it, how do you make the right choice? All you’ve got to on are the ads and overviews from the developer and they are all biased, right? (And tech savvy, they designed the thing!!) Some small business owners get sucked in by the sales blurb promising an overnight transformation but then find themselves more overwhelmed than ever because their new ‘game changing’ system isn’t quite as easy to implement as they thought. The time it takes to understand how to configure it and actually do the work themselves puts them even further behind. And I am proud to say I’ve helped many get back on track. It’s true, you can save a lot of time and energy by systemising and automating, but first take the time to consider what problem you are actually trying to solve. Then, look at the processes you have around the problem - are they simple, repeatable and detailed somewhere other than in your head? If not, that’s where to start….   • CALENDAR. THERE CAN BE ONLY ONE! (if you know, you know!) 🤣 So in step 2, I was talking about how I plan my day to match my energy levels, and that brings me to step 3… You already know, I put everything in my calendar, even helping my daughter with a task or meeting friends, but what I didn’t say is I use one calendar for absolutely everything. Whether you have your own business or you’re an employee, there’s always a potential for overlap. The boiler service, the dentist, your child’s big sports match or their school play debut, often happens when you should be working. Over the years, I’ve tried it all to make sure I don’t miss anything; a physical diary, a family organiser, wall planner, Post-it systems, and multiple electronic calendars, but the only thing that works for me is keeping a single source of truth in my work calendar. With everything in one place, and accessible on my phone, wherever I am, I can see my availability, and if I need to move something to fit another appointment in, I can. My @calendly automated booking system also goes there so that clients can see when I’m free, and book themselves in! 📅👌 If you’re an employee, you can set your home appointments as private, so no one else can see what you’re doing, but they can still see when you’re available to book a meeting with you. In the Calendar app account settings, I make sure I have all the other calendars switched off, so there can be no accidental bookings to the wrong calendar. (I found this out the hard way!) And now for the honest truth, sometimes I still manually book things into the wrong time slot, or even the wrong day (this is not unusual for ADHDers). So now, I set myself up for success by putting the date and time in the title then I can be sure it’s in the right place. Default reminders and connection to #amazonalexa ensure I have plenty of time to prepare, she’s like my assistant and will announce it’s time to get ready or go!   • If step 1 was understanding your natural rhythm, then step 2 is actually creating your schedule around it! That’s where we unlock the mystery of time. ✨ It’s not being a productivity machine —it’s about being intentional and protecting your best brain hours for the work that needs your undivided attention, using your creative hours for working with clients or building something new, and ensuring you save some time and energy to do the things you really love. You already know from step 1, I’m not a morning person, and it takes me twice as long to do ‘deep work’ early in the morning, so why waste my time? My brain hits its peak concentration in the afternoon, so that’s when I focus on project’s and really fly. But here’s the thing—I also plan time for my personal life. Family, friends, Spanish practice, or chill time—it all gets a slot in the calendar. Yes, that’s right, I schedule it. 📆 Why? Because if it’s not on the calendar, it gets pushed out of my mind by work. I love my job, but I also love being in the forest with my dogs, or catching up with a friend over lunch and I don’t want to miss out. Do you block off time for both work and life?   • For someone who teaches overwhelmed people how to organise themselves and their workload, you may be surprised to hear that it doesn’t come naturally to me. I’ve spent a lifetime learning how to get organised, so you don’t have to. Step 1: Understand what time of day you’re at your best and lean in. I am an🦉, so I plan low energy tasks for the morning unless I’m meeting with a client which boosts my energy level 💯. I plan project work and creative tasks for later in the day. They take less 🕰️ in the PM as my 🧠 is already warmed up and ready to go. When I can’t avoid an early start, I allow for time after to just chill, it’s like recharging. And yes, sometimes, it is a nap! 😴 Which type are you? 🦅 ☀️ 🦉 🦄Comment below what challenges you face fitting your type to your life.
