Just like web browsers, email addresses, and document creators, spreadsheets are a part of the technology toolkit that is accessible and available to every business, regardless of size or industry. Spreadsheets help businesses make important decisions, assist in budgeting, and even organise our personal lives. But did you know they can also be invaluable when it comes to managing the security and privacy of your business? It may seem overwhelming at first, but there’s no need to worry—a simple spreadsheet can be a powerful ally in staying on track and monitoring your data and systems. Here are three practical ways businesses can use spreadsheets to safeguard privacy and security, especially during the early stages of growth: 1️⃣ Track User Access and Permissions Managing who has access to your business systems and sensitive data is critical. By maintaining a clear, up-to-date spreadsheet that tracks user access, roles, and permissions across your various tools and platforms, you can ensure that only authorised individuals can view or modify sensitive information. Use this spreadsheet to log any changes in access, adding an extra layer of accountability and making it easier to spot potential security risks. 2️⃣ Monitor Software and Device Inventories Spreadsheets are an excellent way to keep track of all the software and hardware your business uses. By listing out all the tools, apps, and devices in use, along with their version numbers and update schedules, you can ensure your systems remain secure. This helps you avoid vulnerabilities from outdated software and can remind you when it’s time to perform necessary updates or security patches, minimising the risk of cyberattacks or breaches. 3️⃣ Record Incident Response and Data Breach Logs A simple but organised incident response plan is key to handling any data breaches or security issues. A spreadsheet can help you log all the necessary details of any suspicious activity or breaches—such as dates, times, affected systems, and responses taken. This not only helps you track the status of incidents but also provides an easy-to-access history for reporting, auditing, and improving your security strategies over time. By using a spreadsheet, you can establish strong privacy and security practices early in your business journey. It’s affordable, effective, and easy to maintain—a perfect solution for any small business looking to stay safe in the digital landscape.

Celebrated each year on October 14th, World Standards Day celebrates the professionals that work tirelessly to create voluntary technical agreements that are published as International Standards. The International Standards system is built on collaboration and the idea that by “working together, we are empowering people with real-world solutions to face sustainability challenges head-on.” (https://lnkd.in/dCbpC6y) By implementing International Standards, businesses help to ensure interoperability, security, and sustainability, fostering global collaboration to accelerate innovation through AI. As a business who choses to use international standards, you become part of the global solution for peace, prosperity, and the welfare of both people and the planet, aligned with the Sustainable Development Goals (SDGs). This year's World Standards Day is spotlighting SDG 9 that focuses on building resilient infrastructure, promoting inclusive and sustainable industrialisation, and fostering innovation.
