Before even contemplating the delivery of the event, it is essential to define each of your teams roles and responsibilities for the event. So everyone is clear on what is expected of them, what is needed to achieve a successful event and they are empowered to help to support in the delivery of this. With clear guidance on individuals roles, responsibilities, goals/milestones to be achieved within specific timeframes, everyone will have the clarity and understanding of what is expected of them and when they are needed to be achieved by.

One tool that’s proven useful in this is an actual organizational chart that the entire team can view. This leaves no question as to who each team member should be reporting to.

It’s important to clearly communicate before the event, during and after the event and that your communication is clear to your Best Friend (ideal client) which your audience should be full of! If there is lots of teams then it’s important each team is communicated to with their goals, how to communicate with each other to make sure the jobs are undertaken or if there are any issues with the job or the deadlines. Having someone as the main communicator in each team to report back to also helps so information isn’t going on with several people and getting missed. And above all, have fun whilst doing it!

There is nothing more powerful than empowering your team to make decisions. It shows your team that you trust them to make the right decision, makes them feel valued and helps to build their confidence on future projects.

Empowering others to empower is really empowering! Give different members of your team opportunities to take on delegation tasks so everyone who is good at a certain task, or someone who perhaps just needs that bit f extra confidence to know they can do it, is really empowering for everyone. Asking them to make decisions and allowing them to try these decisions to see if they work and if it doesn’t work, if they can find a different solution gives them lots of confidence and shows your faith in allowing them to grow.

It is important to keep a handle on each project/event schedule. What are the key deadline dates for each milestone that needs to be achieved. Have a weekly discussion with your team members, what has been achieved to date, what are the challenges, set out your view and guidance and agree the next follow up and keep lines of communication open should your team need any further clarification on any potential challenges they are struggling to overcome.

After you have empowered your team to make decisions you can ask them to evaluate the execution of the plan, and to meet up and feedback their evaluation and you can feedback yours. This way you are still empowering your staff to take ownership, but then you can share your feedback of any thing that you were happy with, sharing other ways it may have been able to be delivered differently and allowing them to evaluate if it went well, and also they can evaluate their learning from if it went well or if it didn’t.
