How can you manage volunteer expectations across different age groups?

Understanding the diverse motivations of volunteers across age groups is crucial in managing their expectations. Younger volunteers seek skill development and social impact, needing hands-on experiences. Middle-aged individuals prioritize work-life balance and community contributions, benefiting from flexible roles utilizing their expertise. Older volunteers value social connection and mentorship, seeking roles acknowledging their wisdom and allowing them to share lifelong skills. Tailoring roles to align with these motivations ensures engaging experiences, fostering fulfilling engagements for all age groups.

In order to manage someone’s expectations, we must first understand what their expectations are - elicit their “why?” Here are some common personal motivations: - CV/resume building - Gaining experience in an amateur skill - Personal interest in the organisation’s ethos - Networking opportunities - Showcasing their expertise - Expectations of it being fun/ challenging, hands-on/ laid-back It boils down to having a conversation, establishing their expectations and acknowledging whether the aim of the project will fulfill them. This is almost transactional in nature- it ensures the organisation retains people who are ‘all in’ and the volunteers themselves leave satisfied.

Furthermore, establishing clear communication channels is crucial. Regularly update volunteers on organizational goals, project timelines, and any changes in responsibilities. This transparency fosters a sense of belonging and ensures that volunteers feel informed and engaged throughout their commitment.

Motivation is also the main thing. If you have the motivation of helping others freely and safely, then you will be set free and everything will be fine but if you don’t have the motivation then it will be nothing to you. It’ll be just a waste of time and no safety at all.

In my experience, a robust volunteer onboarding process that clearly communicates the mission, vision, and expectations from the onset is crucial for managing and preventing future misunderstandings. Continuous dialogues, the implementation of policies such as a volunteer handbook, and well-coordinated volunteer supervision are instrumental in reducing and averting misunderstandings among volunteers from various age groups.

Communication is essential in aligning volunteers’ expectations. It is important to know what their motivation or objectives are, what they can contribute with, and when they will dedicate themselves to volunteer work. It is worth highlighting that this communication is cyclical and must occur as a dialogue between the institution and the volunteer.

One critical lesson to impart to a team in advance of volunteering is our place in the work. Team building is a great byproduct of volunteering. It shouldn't be the sole purpose for volunteering. We're here to listen, to learn, and to be of service. If that isn't the motivation, it's possible that our work might actually do some harm. We're being invited to participate in a community. Let's make the most of it.

Volunteering is a collective effort that brings together diverse age groups, each with unique perspectives and capabilities. To manage expectations effectively, it's essential to offer customized training and support. For younger volunteers, interactive and hands-on training sessions might work best, leveraging technology and gamification to keep them engaged. For mid-age volunteers, a blend of in-person and online resources, coupled with mentoring opportunities, could cater to their varied learning preferences. With older volunteers, a more personalized and patient approach might be beneficial, focusing on one-on-one guidance and clear communication channels.

Something that I've learnt from experience is that volunteering is a habit that develops since childhood! And to build it, there has to be some sort of a perk, excitement and/ or reward system involved. The Interact club under Rotary International, for example, encourages children from 12-18 years of age to come forth for fun activities and volunteering. This continues through Rotaract and Rotary. I'm honoured to be a part of it. Apart from that, there has to be a sentiment or a driving factor associated with every age group in order to contribute go volunteering!

In my experience, Regular training and support must be held every week. Choose a day and a leader of the area covered like District or Zone leaders to give trainings. Progression will be identified by the Zone or the Overall leader, like president. And every month there will be a monthly report on each progression of each of the volunteers to see how progressing they are on their work.

From my point of view, the common goal of helping the society should be identified. It’s only when we share a common vision that we can help one another. Then, each age group should engage in activities for that goal that allows them get a skill. They should also be diverse knowledge. There is a lot to learn from volunteering just be open minded.

This is how you could too: - Spend time with community, engage with them on a personal level - Understand their mindset, behaviour, thoughts - Show empathy, be a good listener - Communicate with them openly & frankly - Share your stories about success and how you handled different scenarios - Respect their opinions, feedback and suggestions - Give respect to earn respect - Organise events, workshops to build a sense of unity and collaboration Most importantly, have a clear vision and be a good human.
