Clear and consistent communication is essential for engaging and retaining your volunteer workforce. First, take a step back and evaluate your current communication channels and messaging. Are you using the right mediums to reach your volunteers? Is your language clear and easy to understand? Make adjustments as needed to ensure your vision and goals are being conveyed in a compelling way.

Sometimes there can be a disconnection between your volunteers and you. However, communication plays a great role in fixing whatever the problem is and bringing back the connection. It's simple, talk to your volunteers. You cannot know what the problem is without hearing from the involved parties. Give room for them to sincerely share their challenges with you. This way you will understand where there is miscommunication and clarify them. Also do not treat your volunteers like their opinions don't matter. If they are sharing in your vision, hear them out. Communication goes both ways.

If your communication isn't clear, ask yourself, and your volunteers, why it isn't. Assess how you can change or adapt how you communicate. Talk to others in the industry, those who deal with communication and, of course, with your volunteers. It is highly beneficial to take the time to revisit and clarify your goals. During this process, one key aspect that I have found particularly helpful is ensuring that your set goals are specific, measurable, achievable, relevant, and time-bound (SMART).

A vital part of the communication of vision is to listen to what the volunteers are hearing when the vision is communicated. Taking the time to listen to what others are hearing can help refine and clarify vision communication.

Goals should be according to the development of the beneficiaries and then it should be communicated to the volunteers with all the information like - Background of the project - Lacking fields - Why there was a need of volunteers - How they gonna fill in it - Possible outcomes This can be communicated in an engaging way while asking their opinions about it and then allocating the resources and duties according to their skill set and expertise. I have often found that jargon and acronyms can cloud or confuse a message. Clarity is the key. Practice your message on someone who is not familiar with the task, etc., and vary the delivery for various learning strategies.

This open exchange will help you identify any gaps or misunderstandings that need to be addressed. Ultimately, your volunteers are the lifeblood of your organization. Prioritizing effective communication around your volunteer management strategy will empower them to become passionate advocates and help you achieve your mission. Don't let a disconnect stand in the way - take proactive steps to get everyone on the same page.

In my experience i have learnt that in order to manage volunteer programme one needs to apply not "One size fits all" model. The context in which volunteers apply their skills is different and one has to be cognisant of it and be able to support the volunteers within the confines of their context.

Continuously monitor volunteers' progress towards vision and goals, tracking achievements and providing feedback on both individual and group levels. Celebrate successes to motivate volunteers and address setbacks promptly to maintain momentum. By closely monitoring adoption of vision and goals, ongoing improvements to volunteer management strategies can be made.

As a volunteer manager, it is important to effectively communicate our vision and goals with our volunteers. During our screening process, we have to understand their personal motivations and values to ensure certain alignments. During onboarding, we reinforce these shared goals so that our volunteers have a strong sense of purpose when serving the community. While our volunteers are being engaged, it is crucial for us to maintain regular communication and showing appreciation for their efforts and acknowledging their impact on our causes or community.  Communication is a two-way street. Just as we expect them to listen to us, they too can share feedbacks and improvements to the programs so that their experience can be enhanced.
