There are lots of standard practice organizations follow, few of the examples are ITIL, ITSM etc. Its also important to define KPI and SLA for stake holders. Running IT operation is not a easy task, its like army ready for war anytime. You need to be alert and ready to take action at any time. Most of the time we could not predict outages. However, at the same time if we have define process and train resources, it could be easy to manage smoothly. I spend good years in IT operations. There were outages for 2 weeks and because of communication gap with vendors we did had solutions.

The role of CIO is crucial as (s)he is the bridge between business and IT. All operations will then be aligned with the objectives which are repetitive in nature. We usually do IT just for the sake of IT without knowing where the organization wants to go. Remember, IT is only an enabler to achieve organizational goals.

In addition, the source of the information to populate those metrics is fundamental. You can't trust your metrics is the source is inconsistent or incoherent. Not only KPIs are important, but in some complex scenarios the organization will need to also consider KCIs and KRIs to propper model the operation.

KPIs alignment is very critical. There has to be overall SLAs like availability / incident response and then there has to be people KPIs aligned to the SLAs Another area given the amount of app / digital operations, we have to ensure that we are operationally resilient and therefore monitor and analyze to that objective as well.

I have seen that analyzing IT Operational metrics are key to improve efficiency so we need to define matrices carefully based on operational goals. The KPIs need to be revisited to keep increasing operational efficiency. For example for a support team we have usual KPI like Time to Resolve and that may be always green but during last few months ticket analysis we may a certain type of issues always take more than Avg time to resolve, we need to then understand reason behind and fix that problem to improve Process efficiency.

Make the processes work the same everywhere, otherwise your measurements give little meaning and have people discuss how to measure instead of reacting to what is seen. 3. Think math: Y=(x'es) Find the one measurement that shows whether the process is working, "Y". 4. Find out what impacts the big Y, the x'es. 5. Measure and monitor X'es. 6. Look for trends and variations in Y and x'es often enough to react in time. 7. If either the trends shows a signal or the variations, = PROBLEM. 8. Analyze the problem - you might use the 5 Whys method. 9. Remove waste (LEAN), improve what you're good at (Six Sigma). GE made this work a long time ago, so can you.

Evaluating the efficiency and incident reduction/ elimination should be the utmost priority for any organization as this provide a confidence as to how effective and useful the automation is.

For example, we were able to tie together an automated workflow for user account creation, laptop deployment, and new hire swag delivery by collaborating with other teams and using Adaxes and Freshservice. Another benefit of this was we were able to implement error proofing, eliminating the ability to enter certain types of bad data unintentionally throughout the process.

One of the opportunities you get when automating is determining if what you are automating should be automated. Whew, that was a lot of use from one word! -Should we automate the existing process? -Should we modify the process, before automating it? -Is this item now redundant due to the automation of something else? Automation is an enabler to do more but, automating a bad process will just get to the wrong end result much faster.

IT Operations staff and providers work together to fill and manage the Continuous Service Improvement process. It is key to keep that CSI process running and communicate about it to empower IT Staff to be part of it.

My comment above applies here, and I maintain that good communication across the team and across departments will save your IT Operations team a lot of time in the long run. Often, use cases are not clearly defined. Oftener than that, they are not clearly communicated from one party to another. This causes no end of frustration for the IT Operations department, and one party isn't at fault more than the other. Communication must be a two way street. Also, remember the three steps of communication - message sent, message received, message understood. It's easy to stop at sent and say you've done your part.

This is the basic backbone for any operations to run seamlessly. This can be ensured firstly by clear communication from senior management of which team has what scope and operates at what levels. That's called out not only basis upon seniority and authority of the team but also accountability. As long as teams to the ground level i.e. frontline are aligned with the directives - communication & collaboration will happen smoothly in between teams. There is always a scope of change in which team has how much leverage and accountability and management decisions as long as it improves or makes anything better in the operations.

Except PDCA Style, you can try DMAIC (Define, Measure, Analyze, Improve, Control) in this case too. It is similar to PDCA style and some of the companies adopt it instead of PDCA

In my opinion, DMAIC offers a more methodical and rigorous approach, adapted to optimize performance and minimize variations. Conversely, PDCA aims to be more flexible and cyclical, encouraging evolution and adaptability within the organization.

Elicit and integrate insights from both internal teams and external customers.
