What's your strategy for presenting project proposals to clients?

In my experience this element always falls down when you try to say yes to everything the client is demanding. The Client may have a clear vision of what he wants at the end of the process, but he doesn't understand the construction industry so his programme aspirations may be unrealistic...tell him this. Do not cave in to saying yes as this will ultimately come back to bite. Be honest and clear.

Firstly, I always ensure I've thoroughly researched the client's background, industry, and specific needs. Context is pivotal. Then, I begin my presentation with a brief recap of their challenges, ensuring we're aligned. I've found that visual aids, like infographics or slides, are indispensable. They not only keep the audience engaged but simplify complex concepts. Throughout the presentation, I'm keen on interaction. I pause frequently for questions, ensuring the client feels involved and valued. Lastly, I summarise with the benefits and the anticipated outcomes, giving them a vision of success. Having a client perspective is critical, and in order to get this, ask the right questions, and strategically position yourself. Examples include: > (If it's not mentioned in the Client Brief) Why is the scope of services required? > (If the scope of services provided is ambiguous) Clarify if deviation from WBS is acceptable, and if so, seek confirmation that client will accept a "non-conforming" bid/scope. > In the case of technical services such as engineering or science, can the project/program be delivered via secondment? > Understanding how informed the client is, or, isn't. > Ensure a systematic and chronological approach, identify predecessor tasks and gateway deliverables that could hinder program.

My personalized strategy for presenting a project proposal usually as follows : 1. Research and Understand the Client:Conduct in-depth research to understand the client's business, industry, pain points, and objectives. 2.Identify the Key Decision-Makers. 3.Build a Strong Executive Summary. 4. Present a Detailed Project Plan. 5. Showcase Relevant Experience. 6. Customize Solutions. 7. Visualize Data and Concepts. 8. Quantify Benefits:** Using data and case studies to quantify the potential benefits and ROI of the project. 9. Address Concerns and Objections. 10.Engage in Active Communication. 11.Emphasize Long-Term Value. 12.Offer Flexible Options. 13.Practice and Rehearse 14.Follow-Up and Stay Available.

Again, it depends on the type of meeting. Presentations should be punchy. If you cannot deliver what you want in 20 minutes you'll lose the audiences ability to concentrate on the presentation, after which pint it doesn't matter what you say as they're not in the room mentally.

Data should be in order and specific which can truly build trust towards completion and future aspects. Incorrect data and behaviour may create delay issues

Charts and data downloads can be too much to take in. Present in a very easy familiar way and allow the Client to probe as this will encourage interaction.

As the old saying goes Fail to prepare, prepare to fail. This should be everyone's mantra when presenting. I note that this dialogue box has a minimum limit. Being succinct is also a good quality...

In regards to Change Order Proposals, it's important to understand who the approver ultimately is and what they are looking for. This can be more difficult when you are a subcontractor removed from direct communication with the owner. It's always a good idea to "tell a story" with your proposal. If you can break the work down into activities (with hours and cost associated with each), it is easier for the final approver to understand and process than a lump sum "200 hours & $15,000"

'One size cannot fit all' and 'perfection is the enemy of adequate'. These are contradicting philosophies, yet both are important and must be balanced to create and present an impactful proposal. I'm referring to the format and content here. While most bids/contracts have standard templates, it would help if you build-in some unique facts, which can turn heads in the room. Try presenting a different perspective based on sound research and which wasn't so obvious (e.g. to address a unique project requirement or risk, which the client perhaps overlooked...if you're lucky enough). Avoid over emphasizing. It is very important to build trust early on in your presentation.
