In both virtual and in-person team meetings, the same rules apply. The meeting should have a purpose and an agenda; meetings with a free format are more prone to unproductive discussions and manifestations of power dynamics. Next, each team member should be given a proportionate time slot for sharing progress on tasks, insights, or questions. Then, a moderated discussion can take place for decision-making; and I would emphasise "moderated", meaning that people should speak in turn, not shout or talk over each other. Any unnecessary spark of emotion should be addressed by collectively taking a pause and resuming when everyone is ready to engage constructively.

I ensure everyone talk with equal time, with undivided attention active listening from others and asking members to show appreciation to a peer at the end of the meeting.

Navigating power dynamics in settings virtual team setting can be tricky but there are some strategies that can help a more balanced : Encourage equal participation, set clear expectations, leverage anonymous feedback and rotate leadership roles, checking regularity.

If people do not speak in the first five minutes of a meeting, they are likely to not speak at all during the entire time. I can talk to a brick wall, so this is a hard one for me to understand, but it has proven to be true over and over. Engage everyone from the beginning, lay the ground rules of the meeting including who is the ultimate decision maker, have an agenda, and keep things on course, while still making sure everyone has an opportunity to be heard. After the meeting, ensure there is clear communication on the outcome and next steps. Building rapport with your team will help future meetings continue to move forward effectively.
