Setting clear expectations at the very beginning about what they can expect during the process, when they can expect updates, and then following through on those timelines regardless if there is information. Simply treating them respectfully by communicating and following through goes a long way, and its free!

Just because they were not selected does not mean they don't deserve a response or follow up.

I email candidates the outcome of their interview and then offer them a call to run through the feedback. I find this works better than calling and giving feedback there and then as candidates are often not ready to receive it (many are hoping it is a positive outcome!) When you call the candidate at the agreed time they are ready to receive the feedback, you can tell that they are are writing it down and want to improve for next time. This is the approach that has worked best for me.

However, in my experience few reach out to unsuccessful candidates to ask about their experiences during the recruitment process. I'm curious about the reasons for this. Perhaps an awareness that communication throughout the process has been lacking leads to a hesitation in hearing back from candidates? Or perhaps the sheer volume of applicants deters organizations from gathering that high volume of data. New hires are likely feeling positive - after all they accepted an offer with the organization - so the valuable insights that will help drive improvements are more likely to come from your other candidates.

Be there for your candidates and hiring managers every step of the way. Keep them engaged by being engaging and actually caring about their experience. Your greatest asset is being a human being. When someone shares honest feedback with you, see it as the opportunity it is to be better. If it doesn’t ring true, reflect on why this person had that experience—instead of discounting them as wrong.

In very simple practical terms, treat people respectfully, respond to their correspondence in some way shape or form at least and have empathy for the fact the searching for a job is not easy for a lot of people. You don't need a budget to provide great candidates experiences. While there are a lot of things recruiters can do to provide meaningful experiences, really it comes down to three things: 1. Communication 2. Transparency 3. Timeliness
