In my experience audience and purpose is always well captured…. The challenge is the ability to intrinsically empathise with the end user you’re working with and be able to convert the language into their organisational narrative. Clarity and starting from the beginning even if it seems tedious is incredibly valuable.

The most important aspect from my perspective is to choose the right KPIs, which really make a difference and enable you to make good decisions and thereby have direct impact. If you have defined real impactful KPIs, visualization should be quite straightforward. Very imporant is then that your organisation develops the required skills to tell good strories wth data, as in the end the best KPIs wll not have a voice if you are not able to sell and explain them well. Tell a story answering relvant key questions, raising attention towards a clear climax and prove your outcomes with measurable and tangible figures.

Leveraging my experience as a seasoned Business Analyst, I prioritize transparent and clear communication of performance analysis results. This is one of the most important. Having the right metrics and indicators helps to understand, benchmark the best and introspect on the gaps. With these, most of the discussion becomes quantified and adds a lot of value to both the organisation and the individual.

One thing I’ve found helpful is to focus on performance metrics that monitor outcomes versus an activity. Activity, or output, is often not the desired outcome to measure performance. Although challenging to get direct measurements to performance, it does give the best picture of performance in a normalized way. This is often seen with business metrics such as increases in revenue, cost reduction and hours reduced for productivity in the workplace. Each organization needs to align performance metrics to strategic objectives and goals. It becomes a common language.

When it comes to performance analysis, the art lies not just in measuring but in choosing metrics that act as illuminating signposts. So what are the right metrics and indicators? Lets look at what the essentials of a system are: A system essentially consists of goals and inputs/outputs to/from those goals. The biggest part of proper BA performance is zeroing in on discovering what those inputs, outputs and goals are. From discovery of this springs pretty much everything else including problem definition and solution design. Note: Discovery of inputs, outputs, and goals is typically not done in systems efforts.

Stop over complicating your metrics and align them to a simple Red Amber Green result. By doing this your remove the ambiguity of what the metric means. It also helps to tie the metric to key business objectives. For example if one company goal is around voice of customer, tie your CSAT, NPS or CES metrics to that goal. That way it becomes much more powerful. Also try and find a way to easily compare one analysts,team, metric to another. This makes telling the narrative behind the metric more powerful and easier to understand

Imagine a bar graph: on one side, our achievements are towering, but on the other, costs are climbing. The bigger the bar, the better – except for costs. Picture a pie chart: our revenue slices are impressive, but the cost slice is getting chunkier. Now, let's simplify – the goal is a lean, mean pie. Having worked on the dataset/s for quite a while, the business analyst understands the data enough to give relevant contexts and explicit explanation for the insights generated. The audience, most of the time, are curious to find out the rationale behind the conclusions and recommendations presented by the business analyst. At this point, domain knowledge can be very helpful. The business analyst should be prepared to give all the relevant information needed by the audience to apply the results of the performance analysis in critical business decision-making, as applicable.

Data without any reading, context and recommendations, does not make any sense in the organization. A descriptive of the findings and insights is necessary on the basis that the person who is going to read it needs to refresh certain notions about how to read and analyze certain metrics and graphs. For complex systems we do not need to use plain language so much as we need to avoid conflicting terms (i.e., calling something a method here, a sub-system there, and over here calling it a process.)

Summarize the performance results at the begining and again at the end, this will help people to understand the results in deep and also would get the crux to remember when you reiterate at the end.

The most effective way to communicate performance analysis more transparently and clearly is by adopting "Sandwich techniques." There are three steps to this technique. First, you start by appreciating the positive sides of your subordinate. Then you start consulting him with the traits that he needs to improve so that he can be more aligned to the work culture of the organisation, and in the last step, you rap up with some positive words and hopes for him. This technique is used so that your subordinate remains motivated and positive while listening to the traits with which he has to work and doesn't take it as an insult or as discomfort. 

Present a concise executive summary with key metrics, utilize visuals like graphs for clarity, compare against benchmarks, offer actionable insights, address limitations transparently, tailor communication to the audience, and provide documentation for further reference.
