What are the best strategies for promoting a positive and supportive team culture in your volunteer team?

Be truthful, honest and make sure that the team know what's what..clarity is golden. Giving people opportunity and hope. You have insight and courage that gets picked up. Try! What do you have to lose. Also its great for making friendships too I find.

Throughout my time volunteering, I have learned that promoting a positive and supportive team culture in a volunteer team is essential for fostering collaboration, motivation, and overall team satisfaction. As a leader or organizer, one must demonstrate the behavior and values you want to see in your team. Be respectful, supportive, and positive in your interactions with volunteers. Communicate a clear mission and vision for your volunteer team. Ensure everyone understands the group's purpose and objectives so they feel motivated and aligned with the mission. Also, encourage open and honest communication within the team. Create an environment where volunteers feel comfortable sharing their ideas, concerns, and feedback.

I used to work for a large trade association run by a small paid staff which a large group of volunteers. Several things I did to show support for the volunteers: Ensure each volunteer went through a short (1 hour) orientation presentation to reiterate the mission of the association. Sent out periodic surveys to check in with the volunteers. Ensure the volunteers were part of any change, instead of them just being told "we are doing this". Sending personal hand-written thank you notes. Visiting the offices of the volunteers (they were business people) to see what their work challenges might be. Expressing as often as possible how much I appreciated the volunteers.

One thing I have found helpful is communicating regularly with volunteers on a weekly basis to check in. It helps volunteers feel valued and supported during their experience.

Expectation management is key. Don't promise the world if you can't deliver it. There's nothing worse than someone investing a lot of voluntary time into a project and it being dropped at the last minute. Know the value of your community's time and don't allow yourself or others to commit to things that won't build into something beautiful.

When I led 100 active volunteers, I observed their strengths and built on them for the greater good. I gave them credit as the SME. I always gave them a job so they felt important. For their weaknesses, I would encourage them with ways to strengthen those weaknesses. I always did it in a compassionate way or they may not have even known. I didn't know everything so I leaned on them to teach me. I always showed my appreciation because I couldn't do it without them. I logged hours for volunteer service medals. In April, I would hold a gathering to celebrate National Volunteer Month.

It is so important to be sure the correct people are part of the team. When asking a volunteer to join the team it is important to first look at what they bring that the team is missing. It is so important to have different points of view.

We are human. We get overwhelmed, stressed, nervous, and every other emotion that can impact performance. That's what a team is for - to rely on when we cannot perform our best. I've been on good teams and bad teams. In both cases, the work got done, but the end does not always justify the means. Teams where people cared for one another got the work done faster, better, and with a sense of accomplishment that made your day. In contrast, teams with no communication, selfish divisions of labor, or unhealthy relationships also get the work done, but usually at the last minute, with errors and lots of stress. A supportive team culture is critical in all organizations. All it takes is one person to set the standard. Be the change, be kind.

As a national leader of an activity based on volunteers spread out the country, the approach I've experimented is about making good practices and local initiatives from volunteers themselves circulate across territories and teams. It appears to be a great way to get your teams interested, involved and carried away. Indeed, instead of trying to make them adopt top-down pushed change, you impulse curiosity and desire to appropriate and adapt such practices to their local context so that it may solve their own local issues and create a positive impact. When I was managing volunteers serving hospice patients, I made it a point to send out periodical hand written thank you notes. The feedback I received was overwhelming--my volunteers expressed such deep appreciation for acknowledging their contributions. Their work was challenging and often incredibly emotionally taxing, so taking the extra time to individually praise my volunteers helped them internalize their incredible value to our patients/organization, and in turn kept them engaged and enhanced the quality/duration of their patient visits. The nature of the volunteer work was largely solitary, so I also made it a point to facilitate connections within the volunteers by hosting regular volunteer appreciation and education events.

Leading by example as cliché as it sounds works wonders here. Making sure you offer recognition for people's work and offering assistance when you can, can go a long way to promoting to the rest of the team to follow suit. I also could not agree more that people need autonomy over their work so the key is to make sure your environment promotes asking for help when needed and being honest about it. This allows the leaders to step in when they are wanted/needed and not takeover when they are not.

Many volunteer programmes/communities now only exist online. Some of the social aspects we've really enjoyed in the past was making use of VR spaces to interact in more realistic spaces, and hosting a regular fireside chat session in which a new community member each week/month had the opportunity to share a little about themselves. Making your community more familiar with each other in such a remote setting is invaluable and definitely improves output and overall wellbeing.

So for about 20 years, I have been coordinating volunteers to mobilize for and provide succor to positive women and HIV/AIDS orphans. One of the greatest lessons is that everyone has a skill, a talent that can be harnessed for the general good. I am lavish with praise for very little effort and I am also transparent with needs. I insist on a 360 accountability with regards to support received no matter how little. In the process, many have left but those who remain have stronger bonds. I also found that involving everyone from beginning to end can cause confusion but if one is able to navigate the difficult process of building consensus, once the project or program takes off, commitment is total, and progress is assured.

From what I have experienced, especially in volunteering teams, it’s very crucial to socialize more with each other - have breakfast together while having an early morning meeting, arrange outdoor teambuilding activities, and cook together there, more exchange regarding personal values, interests, ambitions, etc.

A lot of the volunteers I manage have a joint connection to our charity and so volunteering for them also provides an environment in which they can discuss this connection with others that understand or just want to listen. This breaks up some of the work involved in the volunteering and I think really reminds them why they are doing what they are doing.

As we all know, things change, so as a leader, you must also be able to change. From my experience, you must listen to your stakeholders. Really hear them out - if they speak up, it's for a reason. Your employees, co-workers, and customers all have important perspectives. If you listen to them, they will reciprocate that energy. The mutual respect creates an adaptable, resilient team that concentrates on the relevant problems impacting your business.

My previous experiences in digital product management encouraged me to deploy build-measure-learn approach in volunteers' own hands in order to revitalize and diversify a volunteer-based activity. Iterations, feedback and validated learning help volunteers focus on visible impact and added value provided by their own step-by-step efforts, which makes them more confident, more resilient and more adaptable over time. I truly believe the most important and perhaps overlooked aspect of creating the most positive volunteer experience is planning for and enabling the volunteer to diminish their level of contribution. Volunteering often becomes a 'labor of love' which can exhaust even the most caring and giving individuals. Effective succession planning is critical to allow the most passionate of volunteers the guilt free opportunity to 'do less' over time.

Never turn a volunteer away because ‘you have enough people’. There’s always something for everyone to do & you show everyone is welcome.

Setting boundaries and protect the colleagues to protect them against burn out. People cannot always appreciate what is given to them (it might be due to their emotional, physical, mental state) so sometimes it might become important to set boundaries and remind them about being respectful and if possible grateful for the services they receive.

Mapping out pathways for people to become more than volunteers or demonstrating ways they can lessen or build their time spent investing in your project/community is important. If everyone stays on the same level your network will fail to grow and tire pretty quickly.
