I always start my sessions with some “liberating principles”. Confidentiality, no judgement, active listening, … and take a moment to get the feedback and commitment of each member … and help the collective to reflect in their day-to-day … “are these principles alive in the team? What would be the benefits? Etc …”. It is a kind of anchor at the beginning.

Truth be told (from experience): anything shared in a group setting may be used by others and that is the point of a group setting (to learn from each other). But what you would want to protect yourself against is them taking that information and reselling it to others or sharing it actively to others. This is where you have to be clear about your terms and conditions which they agree on initially to be part of the program and calls. But even though, if they are in another country, it still won't stop them. It is just the nature of how it is and we need to accept it.

For recurring sessions: say it every session again: This is a safe space and all information are supposed to stay in here. Look out for confirmation of each participant. Tell again and again why it's important for the group, the individual and the organisation to have this safe space.

Understanding diverse backgrounds and perspectives can enhance mutual respect and reduce the likelihood of misunderstandings that might compromise confidentiality.

- Utilize secure communication platforms or tools that offer encryption for sensitive information sharing. - Implement password protection or access controls for any shared documents or resources. - Educate participants on the importance of using secure channels for communication within the group.

I never foster sensitive information sharing. Whenever the curriculum, or the particulars of that group session, require such, although I usually make sure this doesn't happen often, I use data protecting tools, and only allow participants to share that bit of sensitive data with me, so I can control further sharing, if appropriate, and to what extent, by applying proper filters.

In short, there's no way to ensure confidentiality in a group. However, there are plenty of ways to encourage it. The most powerful that I've found is to connect with the human aspect of each individual, and help them recognize how meaningfully they can share when they know their contributions will not leave the group. Reminding them that they personally would not want their shares to leave the group helps them to empathize with others, thus making it much less likely to take content outside of the group.

Confidentiality is the cornerstone of a successful coaching relationship, fostering a safe environment for coachees to share personal and sensitive information. Establish confidentiality protocols before sessions and ensure all group members understand when, where, and how they apply. Address any breaches promptly by investigating the cause, identifying vulnerabilities, and implementing corrective measures. Preventive strategies should be in place, and serious breaches reported to higher authorities if necessary. By maintaining these standards, coaches can uphold the trust and integrity essential to effective coaching.

Develop your managerial courage when faced with a potential of a breach. Demonstrate tough concern and do not delay in your response to such scenarios. Also don’t forget the emotions of the group/ person who may be doing the breach. Even if you’re totally right, feelings may run high. If you have to be critical, you can still empathize with how he/she feels or you can help with encouragement later when the discussion turns more positive. Mentally rehearse for worst-case scenarios. Anticipate what the person might say and have responses prepared so as not to be caught off guard.

Group coaching offers powerful support and opportunity for growth. Confidentiality is key. It is the coach's responsibility, with the cooperation of the group, to establish a clear protocol from the start. Confidentiality and respectful communication must be emphasised. Fostering an open dialogue by creating a space where vulnerability feels safe, not scary. Nobody should feel obliged to share anything they are not comfortable sharing. The coach could consider incorporating anonymous exercises or prompts to protect identities when discussing sensitive topics if this is the group's preference. By reviewing confidentiality expectations throughout helps to ensure everyone is comfortable within the group and expectations are aligned.

One of easiest ways confidentiality is breached, particularly when the group works together regularly (i.e. company group coaching), is through gossip. Considered trivial/harmless, a coworker may share what they heard in the circle, thinking "I'm only talking with ONE person about it." But it is this simple act that: 1) opens the doors for the other to share it, and 2) opens the gates for more breaks of confidentiality. I like to help my groups understand the true essence of gossip: Sharing something with someone without the intent or ability to improve the situation. By sharing this definition, some examples, and discussing how we feel when others gossip about us, individuals are less likely to breach the confidentiality.
