I’ve been making use of read.ai and I love how it integrates with all meeting apps (Google Meet, Teams etc). After the meeting, I get a summary of the entire meeting including action points. Truly a game changer. Only thing is when vernac is used in the meetings, it struggles 😂🤷🏽♂️

These suggestions in the prompt are a little absurd simply because most of them go without saying. But alas, perhaps a reminder every once in awhile is helpful. I would go a step further and maybe this too is pretty obvious. But as soon as you know you have the meeting and must transcribe, setup a couple practice runs with colleagues or others if at all possible. That way you can see how it does without learning any of its faults during the time its most important; the meeting you set it up for in the first place.

I see AI agents becoming an essential part of all online meetings routine and having your AI assistant join the call is now not going to surprise anyone.

Be cautious when using the auto-join setting on your AI notetaker. Many AI notetakers like Read.ai will join before you do. That's convenient at times but a big problem at others. For example, if you are attending a webinar that allows only one instance of your email address to attend, you will likely get a message that says you're already in the meeting. That's because your notetaker took your seat. In most cases, you can't kick your own notetaker out of the webinar. Only the host can do that.

Always check through the transcription. Mistakes can happen and it never hurts to read over everything again. Notes, comments, photos or files can be added depending on the tool, and speakers names added/changed. Then read over it again!

In the transcription process's final stage, review and edit the document for accuracy. Compare it with the original audio, correct errors, add punctuation and highlight key points. Remove irrelevant details, and save the transcript in your preferred format for future reference.

Always review. The AI's that are used for this are not perfect and can sometimes translate to words that are nothing like what was said. Just like when we type on our phones we can often go too fast or the dreaded autoINcorrect will strike. There are a couple tools you can try and I know many use them, but I have heard great things of Grammarly. I have used it before but not for this.

This approach helps with a more scalable, accurate and reliable transcript for your review and editing needs.

I find it best to share the transcript with everyone who was on the call. But I always edit it carefully first. People dont have time to read an unedited document.

We also use software to summative several meetings to produce monthly and quarterly reports.

I would never share a full transcript, but… I often drop transcripts into GPT, describe the follow up email I’m looking for ensuring that it lists next step and project owners. Lots of bigger companies are really sensitive around having a AI bot/notetaker in the meeting. Data security/PII Information - all the valid concerns. First question should be: Does your line of work allow you to have a bot on the meeting. If yes, great, choose one of many options. If not: see some native options, like google meet transcribe etc. In case you want to be sneaky, you can use Krisp that technically acts as a sound card and records it all, and nobody knows :) All in all, i think in this AI era its crazy not to transcribe meetings and use those transcriptions in AI to prompt them for MoM or any other output. I hate taking notes, so a combination of AI + Transcript + Note tool like Obsidian is a win for me:)
