Here's how you can streamline communication within your startup team.

Working in a team, especially within a startup environment, is all about organization, transparency, clarity of goals and expectations, and communication. Based on my years of experience with startups, I recommend starting with a workshop to establish the team's working agreements. Following that, it's crucial to define the objectives, the definitions of "ready" and "done." Additionally, it's important to avoid siloed organizational models and instead favor Agile, cross-functional models to ensure fluidity, dynamism, and communication within the team, thus reducing the risk of a "one-point of failure." Lastly, embrace Lean principles that focus on the outcome rather than the output of the team.

Streamlining communication within your startup team involves implementing clear and effective strategies. Utilize collaborative tools to centralize communication and project management. Establish regular check-ins and meetings, ensuring they are focused and time-efficient. Define clear communication channels for different types of information, such as urgent issues, project updates, and general announcements. Encourage transparency and open dialogue, allowing team members to share ideas and feedback freely. Standardize documentation practices for easy access to important information. By fostering a culture of clarity and openness, you can enhance efficiency and collaboration within your startup team.

Proper role definition not only enhances efficiency but also gives clarity and helps to grow your startup. But it might be rather hard to do since you have only limited capacity and resources at the beginning of your startup journey. Due to my extensive experience in HR and working with over 200 startups, I recommend assigning roles based on the skills, experience and strengths of your team members with some flexibility on trying out new responsibilities and tasks as well. Keep your strategic objectives in mind and assign key performance responsibilities that need to be done. In times of high demand or capacity struggles, make sure to have a clear understanding within the team which tasks are going first and who supports who & how.

"Tools change, but the approaches and methods remain". I categorize team collaboration tools into three main categories: 1)Tools for quick information exchange that allow voice, video, and writing. For this purpose, I use Discord. 2) Project/task management tools to handle all execution processes. In our company, we use Taiga because it is an open-source platform customizable. However, even a "simple" tool like Trello could beenough, or a more complex tool like Jira or ClickUp. 3) Business design and strategy tools like Miro or seedz.app, which allows mapping objectives, opportunities, and solutions. These tools are designed to meet the need for transparency and sharing, which are fundamental to teamwork.

The hardest part of teamwork! My best practices: 1) if you can update someone asynchronously, you must use it! 2) The meetings of the team are not about "updating". They should always be decision-making meetings. 3) always, always, always communicate the goals of the meetings and, where it is possible, it's better to indicate who is fundamental and who is optional. #ZeroWaste! 4) insert the list of the topics and the order of discussion in the invitation 5) use my Miro Template "Meeting Board" 🙂

Based on my previous experience in HR transformation projects such as restructuring, agile work and digitalization, I recommend focusing on these three aspects in order to create an open culture: 1. transparency, e.g. open-door policy 2. walk your talk, e.g. follow through with your decisions and explain your "Why" or talk open about your mistakes 3. be inclusive and respectful, e.g. guidance and training on inclusivity & diversity. Culture is one of the hardest parts to master within a growing startup team, but its something you can work on!

In my experience, setting expectations setting is very helpful in order to have a well oiled team. Every team member should be aware about your expectations, and understand their WHY. Expectations should be set towards the role of each member, the contribution of the role, the overall team culture and behaviour within. I recommend setting clear expectations right in the beginning of the onboarding and also follow up regularly, especially when expectations are not being met.
