Gathering the relevant data can be more difficult than it sounds. Depending on what is being reviewed, people can be hesitant to provide real feedback. Providing anonymity is helpful, but also make sure your data gathering processes are compliant with personal data regulations. Keep surveys simple to complete by stakeholders. They are doing you a favor, so be considerate of their time.

Having identified this, some key actions I found to be important and often overlooked are: - Set a learning repository and design a system to store feedback that has been constructive and led to valuable changes. This can serve as a learning path for current and future project managers and help avoid the recurrence of the same issues. - Address feedback promptly, as the next one is on its way.

If possible based on the scope, a great way to approach analysis is to put together a working group with different backgrounds, experiences, and ways of problem solving. Too many thoughts and opinions may stall progress, but having different viewpoints will ultimately provide better insights.

One thing I’ve found highly effective is to visualize the distribution of feedback across these categories using bar charts, pie charts, or histograms, etc. I also find collaboration / visualization tools like Miro or Lucidchart helpful to create these visualizations easily by dragging and dropping elements. Once the data is clearly visualized, it’s much easier to spot recurring themes and issues in the feedback.

Implement a structured approach to categorize feedback into themes or categories related to specific aspects of your project, such as efficiency, satisfaction, or usability. Establish a priority matrix to rank the issues identified based on their impact and urgency, focusing your resources on areas that require immediate attention. Involve a cross-functional team in the analysis process to bring diverse perspectives and ensure that the interpretation of the data is comprehensive and unbiased.

Thirdly, plan changes based on the insights gained from analyzing the feedback. Develop actionable recommendations and initiatives to address identified areas for improvement and optimize project processes and workflows. Prioritize changes based on their potential impact and feasibility, considering factors such as resource availability, timeline constraints, and stakeholder priorities. Develop a comprehensive implementation plan that outlines specific actions, responsibilities, and timelines for implementing the proposed changes.

Although we shouldn't dismiss the difficulty of making these changes (even the small ones), why? company culture. Improve that and you'll see less resistance across the board.

The time is here for you to put down action plans. There are insights available and shortcomings have been prioritized. Outline actionable steps to remedy those shortcomings. Communication is keen here. Each department or individual involved here needs to clearly understand what they are supposed to do. Avoid complications as much as possible. The goal is getting everyone efficiently involved in the process.

Everything mentioned above seems perfect only when proper communication is established among the project stakeholders and executors. ‘Precise Communication’—choosing what to translate into the project and communicating it to the team—is the most underrated skill.

Disruption theory indicates just when you think you are winning a disruptive external force will emerge. Embrace it, learn from it and move on… as you are disrupting others they will be defending their strategy. Take your main belief and ask yourself what you would do to break it …. It will prove valuable when the times comes to pivot.. which it will!

I have also worked with cross-functional teams to create forms and spaces that allow all collaborators to work cohesively while still independent in their space and assignments.

Very often feedback is linked with kind of a negative connotation. You will learn things like first provide something positive then something negative. Always use 'I' instead of 'You' etc. etc. However, in my own opinion feedback should always been seen as something positive as it will help you make things better next time. Not saying that feedback can be everything. For those giving feedback it is important to be objective and focused on facts. Those receiving feedback should ensure that when it is not constructive to learn to 'ignore' it and focus on the objective facts to improve.

Don’t shoot the messenger. Most people will not voluntarily give you feedback. They are as uncomfortable with possible confrontation as you are. They don’t want to hurt your feelings. They are afraid of your reaction. They don’t want to risk your disapproval.

Good mindset and keep positive thinking. Believe this feedback will bring better outcomes on your project. If still in doubt with the feedback, try to look at the feedback from another point of view. Believe the Stakeholders on the Project while giving the feedback want Improvement on the Project and get the success together

In all projects that I have either lead or been a part of the MOST important consideration for a successful outcome is ‘buy in’ from the senior team - usually board level. If you don’t have that, the project is starting from a point of failure.
