What do you do if your AI project is facing intense time constraints?

In the face of tight deadlines, it's crucial to prioritize tasks based on their impact and urgency. I use a combination of the MoSCoW method (Must have, Should have, Could have, Won't have) and the Eisenhower Matrix to classify tasks. This helps in focusing on what truly moves the needle for project milestones and ensures that critical features are developed and tested first.

There are many components required to work together to gain the full benefit of AI. Given the time constraints, it would be ideal to see the most important user requirements and focus only on those. This also requires to ensure the technology and AI development fits within the timelines. We have to consider key tasks like model training, evaluation, etc during planning sessions. We also try to simplify the process and the solution while keeping provision to expand in the future when time allows.

These few tips will help ensure your AI projects meet time constraints: 1) Prioritize your tasks It is crucial to prioritize your talks on a regular basis (P0, P1,...), & ensure your team is aware of the common goals. 2) Select tools and models which improve efficiency There are a number of tools and algorithms available to us. Make sure the tool and model you select is the best fit for your use case. 3) Course-correct faster If you feel there are factors delaying your execution- maybe it is time to go back to your modeling board and rethink your roadmap.

As an AI Analogy. think LLM/RAG content chunking model applied to prioritizing tasks. Breakdown work into tasks (think SLM v LLM) or small sets of tasks. And as in classic agile project management, applied to your AI project, set priorities, learn through execution, and scrum sharing, then adjust as required to meet deadlines. Regularly communicate and collaborate with leadership and sponsors – consider which scope may be altered? - to realize achievable outcomes.

When you're short on Time, focus on what's most important. Figure out main things your AI project needs to work well. These are must-haves. Organize other tasks by how much they matter. Start with big ones & think about making smaller ones simpler or skipping them for now. You can always add them later. Break tasks into smaller parts, talk more with your team, focus on what's really important, use tools that are already made, try out ideas quickly, use your resources well, encourage new ideas, make decisions faster, write better code, work together with team, get help for things that aren't your main job, keep track of how things are going, use computers on internet for extra help, set goals that are hard but possible, be ready to change.

when facing time constraints, critically evaluate the project requirements and goals. Decide which features are absolutely necessary for the project’s core functionality and which can be either delayed or removed. This prioritization not only streamlines the work but also ensures that the team is not overburdened. Employ tools and methods that facilitate rapid development such as modular architecture or incremental development. Keep the communication open with stakeholders to manage expectations and agree on the revised scope and deliverables. This approach will help in focusing resources on high-impact tasks that are feasible within the given timeframe.

When tight on time, we scaled back our original vision, choosing pre-trained models over custom solutions to meet essential needs and deliver a functional MVP.

Aim to deliver a Minimum Viable Product (MVP) that meets the primary goals of the project. Simplifying the scope helps in managing resources effectively and reduces the risk of delays.

Regular stand-ups, sprint planning, and retrospectives ensure that the team remains on track and can quickly pivot as needed. It also facilitates continuous integration and delivery, which is crucial for timely feedback and adjustments.

I've used this approach hundreds of times at Microsoft with teams who are not sure where to start with an agile approach. Simply use a Kanban method. Create 4 columns left to right with a BACKLOG of all tasks on the left, a TO DO of tasks to be done soon, a DO for tasks being worked on now, and finally a DONE column. Write the tasks on post-its and add them into the backlog, then work through a prioritization to choose the ones to work on, and as you work on the tasks, you move them through the board. Every week take time to learn one new thing about the agile approaches, and improve what you're doing, so you're getting better every week. Even if you have never done anything like this before, it is easy to get started and improve.

When tackling AI projects under tight deadlines, proactively managing risks is crucial. Conduct a prioritization of project features. Can a feature be scaled back in complexity? Can it be temporarily removed and added later in a future update? Focus development efforts on what's absolutely essential to meet the current deadline

When your AI project is running low on time, make sure everyone in Team knows what they're doing, keep an eye on possible problems, keep data safe, think about what's right & wrong, keep learning about new things in field, follow any rules that apply, be ready to change plans if required, make sure everyone knows what to expect, listen to feedback from others, keep an eye on how much money is being spent, adapt to changes quickly, keep everyone who cares about project informed, listen to what people want, try new things to see what works, work closely with other groups, think about what could go wrong, make sure everyone knows how to do their job well, keep track of what's happening, & make sure everyone feels good about working together.

Let’s consider the following: ---Scoping part o Re-visit the project roadmap, prioritize features/tasks, break it into stages, don’t push you/your team too much, & do communicate. ---Execution part o revisit established baseline (labelling, feature space, dimensionality & others), possible timescale, automation possibilities - tools & models, ML Pipelines o Apply, applicable agile, scrum practices

Is it me? Or is all advice about work harder and smarter ? As if you weren't doing that already? Stop don't kid your self. Be real. 1. What is realistically achievable. 2 and who overpromissed on this scale!. 3 why is this time pressure? Follow to the source of the issue. Is it 2 then you are in face saving operation. Is it 3? Then change the time scale or ambition. When there is no business case, terminate. When there is, relax and don't drive your team over the edge. If there is and opportunity, benefit from better funding and resourcing. Change the rules not your effort, focus on why the project and understand it's drivers.... Do it the smart way. From experience, been there, ..

Maybe it's worth mentioning a couple of things that one should *not* do: 1) compromising on quality by rush deliverying: this is almost always a mistake, but in AI it could prove fatal, producing weaknesses almost impossible to fix later; 2) borrow more time including more features in the scope: this is obviously the opposite that one should do, but it often is a tempting alternative to just declaring that a milestone cannot be met; 3) onboarding new people in the team without proper preparation, increasing entropy and management overhead.
