as with any project you must have a complete, good sow. meeting minutes would be passed back to the PM - project manager so that person is aware of what was said. Better, is to be there on the call or in person. You just cannot take a chance on unknowns unless you have complete faith in the person you entrust with that service. Ultimately, it is the PM who is the one and only to blame.

Ensuring alignment on all discussion points and agreement between an IT Team and vendor is crucial. Utilize any documention tool available to record all agreed engagement, approaches, ownership, cost and timeline. That should be properly acknowledged or conformed by all parties involved including leadership. It will serve as guide to all parties on the expectations from inception, design to the final delivery of the solution.
