Your front desk receptionist can make an impact far past the front desk. At a show in Ohio, a healthcare facility hesitated about our software arguing that they have a receptionist they pay for because everyone loves her. “We simply can’t replace her with technology.” “Can she help know in real-time who's in the building?” “No.” “Can she help boost Google reviews?” “No.” “How about let our system do all that (and a whole lot more!) and let her cater to all those residents who love her – and do all that BETTER. “ 💡Facility owner loved it – and bought Advanced Entry. Proper software implementation is NOT to replace human staff, rather it can help them do a whole lot more – that much better. (See previous post. 👆) After implementing our software, facilities share the receptionist difference: 💬 “MORE TIME TO CARE FOR RESIDENTS” “We no longer have to have an employee at the front door to check staff and visitors in. It gives us more time to care for our residents.” Amanda Muncey, front desk personnel @ Genesis Healthcare - Willow Ridge 💬 “IT HAS FREED ME UP TO DO OTHER THINGS” “Manual entry of everyone's information PLUS everyone's temperature that enters the building was SO inefficient and a real time-waster. It has freed me up to do the numerous other things I do.” Sandra Wallace, front desk personnel @ Orono Commons 💬”OUR STAFF HAS MORE TIME TO COMPLETE EXTRA TASKS” “Advanced Entry has helped my facility so much! Prior to this, our reception desk staff had to let the phone ring while screening visitors/staff or stop what they were doing to screen people. With Advanced Entry, our staff has more free time to complete extra tasks, and even enjoys jumping up to help those that need it.” Jenna Brault, front desk personnel @ Genesis-Langdon Place of Dover TL;DR: Software is not here to REPLACE humans – but to OPTIMIZE them to do what they do better. Spill the beans 🫘. Which software has helped you optimize your manual labor? #AdvancedEntry #Software #Staff #FrontDeskReceptionist

Manual labor or software – which performs better? On the one hand, humans can NEVER be replaced. That’s a non-debatable fact. ✨The trick is to figure out which parts of their jobs CAN be replaced with software – to optimize the human aspect of what they do. Let’s go through some popular positions: 🧑💻Front-desk receptionists Signing in visitors with pen and paper ⇒ Visitor sign-in kiosk Dialing each staff member to relay messages ⇒ Sitewide communication tool Tracking work hours via pen, paper, and calculator ⇒ Punch-in tracking tool 🧑💻Marketers Using a calculator and paper records to analyze stats ⇒ Generating reports and tracking metrics via software Emailing visitors for reviews ⇒ Automated feedback request linked to Google reviews Giving out paper questionnaires ⇒ Customized questionnaires in sign-in kiosk 🧑💻CEOs Having staff track their time and give in their hours before payroll ⇒ Easy staff punch-in Trying to be everywhere at once to oversee operations ⇒ Video cameras Working through different bank accounts and accountants to measure revenue ⇒ Software tracking the different numbers 🧑💻Nurses Writing down patients’ vitals and complaints ⇒ Upload patients’ information to their portal Check which medications patients are allowed ⇒ Systems are set to ensure patients are receiving proper dosages and medications Straddling between different papers and systems ⇒ One streamlined software where all patient records are stored Yes, we’re lightyears away from relying solely on human talent. But perhaps you can streamline your systems even more by implementing the proper software and optimizing your human talent. More on this next post. #HumanResources #Software #Staff

The contraband crisis – and how to prevent it. ▶️ A healthcare facility finds contraband on its premises. ◀️ Here’s how two different facilities react. 🔫Facility 1: Staff is alerted, patients are grilled, and antennas are raised. They can’t figure out who brought it in and how to prevent his entry going forward. They’re afraid for their safety and compliance. Every visitor increases the underlying tension in the atmosphere. = CONTRABAND CRISIS 🔫Facility 2: Staff members are sent an alert via sitewide communication. They quickly remove the contraband and search the patient's room to ensure that it’s fully clean from other illegals. They scroll through their visitor entries and are clearly able to see who the recent visitors to this patient are – and the probable suspects. And, they’re able to blacklist the guilty individual(s) going forward. = CRISIS AVERTED They had the proper systems in place and crisis was averted. Some must-haves to prevent contraband crises: ✔️ Visitor login should include which patient they’re visiting. ✔️ Software should be able to communicate to necessary staff members. ✔️ Visitor login should have an option to blacklist individuals. What happens if your facility finds contraband? Do you have the proper systems in place to curtail an impending disaster? Share your hacks! #Contraband #Healthcare #Software

Ignorance can be bliss – until disaster strikes. In the 2024 business world, data is fast becoming a business requirement. Don’t wait for disaster to start gathering data – make the shift now! “Everybody needs data literacy, because data is everywhere. It’s the new currency, it's the language of the business. We need to be able to speak that.” -Piyanka Jain, author and data Science expert How? Advanced Entry’s AI-powered kiosk + portal was created for this. We are not just a visitor entry solution, we are a data collector – that also signs in visitors. Some of the data we collect: 🚶The entry and exit of every visitor – in real-time 📱Positive and negative reviews from visitors 🪪Contact information, IDs, and facial recognition of visitors, staff, and vendors 🧑⚕️Precise documentation of when staff and visitors worked Even without a data expert, seeing reports with the above data ^^ can ensure that your facility makes informed, proactive decisions. #data #advancedentry

Think black-and-white, pen and paper. Think early 1900s. What did visitor management look like then and how has it changed in the digital era? Before the 1990s: Signing in visitors was reserved for the few super-professional facilities. If such a system existed, it was some form of manual pen and paper entry either via logbook or receptionist. Late 1900s, early 2000s: The computerized sign-in shift took over. The new sign-in system may have been semi-computerized but usually involved the receptionist and was still timely. 2010: With the widespread use of the smartphone, visitor management took another jump ahead. Many systems integrated with visitors’ phones via SMS and email, creating a speedy sign-in. 2015: Many systems added an ID scanner to the process. This allows the system to compare the ID to a government database and identify any blacklisted individuals. 2023: **THE STREAMLINED VISITOR INTELLIGENCE REVOLUTION** Advanced Entry has introduced the world to visitor intelligence. It is no longer just about signing in visitors, it’s about streamlining systems and garnering priceless data – all in one cutting-edge software. 👉Visitor management will never be the same! #visitormanagement #saastool #advancedentry

Do you keep the doors to your facility wide open? You’re probably aghast at the thought of such a notion. But how do you screen who’s inside your facility – and who is intentionally not? Let’s go through some of the popular visitor sign-in options being used in 2024: 🖥️Front desk receptionist Advantages: Human, personal touch Disadvantages: Costly, not 100% foolproof, old-school 🔫Security guards Advantages: Experienced, professional Disadvantages: Costly, unpleasant for visitors 🔐Locked entrances Advantages: Full control of visitors, easy to use Disadvantages: Time-consuming for unregistered visitors, not 100% foolproof 📑Visitor log book Advantages: Low-cost, uncomplicated Disadvantages: Not accurate due to illegible signatures and estimated times, lack of confidentiality 📱Sign-in kiosk Advantages: Professional, almost 100% foolproof, pleasant and easy for visitors, real-time data, customized to the facility’s needs, honors confidentiality Disadvantages: Can malfunction, costly Because of the significant advantages of a sign-in kiosk over the other options above ^^, many facilities and institutions have made the shift. Let’s address the two disadvantages of such a tool: 1. Can malfunction. Be sure to research that: 👉They provide stellar customer service and assist as soon as a problem arises. 2. Costly. Be sure to research that: 👉Many of these kiosks are sold along with sophisticated software that offers so much more than visitor sign-in alone. This can streamline many of your processes and make the investment a cost-effective one. It’s time to consider the kiosk sign-in option – but do your research smartly. #vistorentry #kiosksign-in #AdvancedEntry

💪 The 3-step process to getting robust reviews: 😃 Happy visitors leave stellar reviews. Your primary goal must always be to leave your clients thrilled with your service or product. It’s a recipe for success and the only way to perhaps get those reviews. 🙏Even thrilled visitors need a request to review. It may not dawn on them to share the awesomeness of your business with the world. But when asked to review, they’re often happy to leave a meaty review. ☄️Visitors need it to be super-duper easy to review. People are busy. And although they’re happy to do others a favor, they need it to be easy-peasy. We used the guide above ^^ in our visitor intelligence software to help our clients get increased + robust reviews. How do you work on increasing your reviews? #googlereviews #increaseconversions
