Caf2Code is a Microsoft Solution Partner software development company and B2B consultancy specializing in the enterprise finance and accounting market. Founded in 2017, Caf2Code has rapidly established itself as a key player in the Dynamics 365 services industry. With a team of 14 full-time employees spanning seven states, in addition to several contractors, Caf2Code has consistently demonstrated its commitment to innovation and client satisfaction. The inspiration behind Caf2Code's name is based on the old joke about programmers - that if you input coffee, they output code. In March 2020, during the height of the pandemic panic, Caf2Code boldly shifted its business model, making significant investments to expand its operations, serve more clients, and create high-quality job opportunities.     The best investment you can make? Cleaning up your data. (This sounds mundane, but it's true) Your organization’s growth depends on it. Consider this: You want to get in on the AI movement. You’re ready to double down on data. Sounds smart, right? Absolutely. But if your data is messy—full of duplicates, gaps, or outdated information—all of your efforts will be wasted. Bad data = bad results. In AI. In Reports. In Everything. That’s why it’s so important to start with clean data. It may not be as exciting as the latest AI, But focusing on this “mundane” task of cleaning your data, is what unlocks those advanced tools. The most critical investments aren’t always flashy.     "I'm so frustrated! And now there is another license! What does premium even mean?" I've heard this more than once dealing with D365 licenses. So, let's get back to basics. For the next few weeks, I’ll be creating simple “licensing 101” guides and sharing them here. Today, I will focus on the 4 main Dynamics 365 Finance license tiers: 1. Team Member License 2. Operations-Activity License 3. Full “Base” License  4. Premium License The pricing below is the published Microsoft MSRP annual commitment price. Keep in mind if you do not opt for the annual commitment, you are subject to a 20% surcharge. 1. D365 Team Members License  $8 per user per month This is the least expensive license with the most restrictions. Use this when you need users to: • Approve expenses • Submit time  • Access basic financial reports 2. Operations-Activity License $50 per user per month Gives more access than the Team Members license. Use this when users need access to:  • Approve and Maintain Financial Records (Budget register entries, purchase agreements, commitment documents, credit card payments) • Manage Catalogs and Retail Operations (Maintain catalogs, retail catalog approval workflow) • Oversee Payment and Bank Processes (Payment schedule journal processing, review bank management performance) 3. Full "Base" License $210 per user per month The full Finance license includes core financial management with up to 100 electronic invoices/month and 20K AI Builder credits. Use this when users need access to: • Accounting • Standard Reporting • Basic Invoicing • Core Financial Functionality 4. Finance Premium License $300.00 per user per month Top-tier license with comprehensive access. Use this when users need access to: • Advanced Planning • Forecasting • More Electronic Invoices/Month (200 total)  • More AI Builder Credits (50 total) TL:DR? → Team Member: For light, occasional tasks like expense approvals and viewing basic reports. → Operations-Activity: For specialty roles that need to manage records, catalogs, and payment processes. → Full License: For core financial activities like accounting and invoicing. → Finance Premium: For advanced forecasting, planning, and high-volume financial tasks.     The key to a successful ERP implementation comes down to one thing: Saying “no” when it’s necessary. The most successful projects embrace: Setting boundaries and focusing on what truly matters. But when every request gets a “yes.” When the goal is to please everyone. When every idea is pursued. The implementation becomes chaotic—a checklist without a clear purpose. Efficiency is lost, and timelines stretch. The project’s vision blurs. Every decision feels misaligned. When intentional boundaries are in place: The focus is sharp. Progress is steady. Your results are stronger. Value is undeniable. Budgets stay controlled. Complexity is minimized. The strategic advantage? Saying “no” to distractions that don’t serve the core goal. When this happens, the project flows, and your team feels empowered. Never lose sight of what gives your implementation its momentum. If you do, unnecessary tasks will slow progress.  This is one of the hardest but most valuable lessons. It’s easy to think saying “yes” will ensure satisfaction. “Can I keep saying ‘no’? Won’t that risk buy-in?” The truth is, saying “yes” to everything sacrifices clarity. It veers you away from a streamlined, effective path. As your project evolves, remember: prioritizing purpose over “yes” is what drives success. P.S.     Vitamins are killing your user adoption Huh? Stick with me. I recently learned of the concept "vitamins" vs "painkillers" The idea is that when you have a headache, you reach for the painkillers right away, While vitamins are good for long-term health but useless against acute pain. Most people approach an implementation with a "vitamin" approach. They'll say things like: • This training will be SO good for your sales team. • You'll get more insight into your business. • This will improve communication Like vitamins, these are long-term benefits - and nice to haves. But they don't address the pain users are experiencing RIGHT NOW. Your solutions must be the painkillers that relieve that immediate pain. So what does this look like? → Instead of "This training will be so good for your sales team." (Vitamin) → Try "This 3 hour training will reduce your sales team admin time by 1 hour a day." (Painkiller) Why? You’re calling out the specific pain of time lost to admin tasks. → And instead of "This will improve communication" (Vitamin) → Try "You won't have to leave outlook to add information about that opportunity into 3 different systems, and email Susie in Sales, and message Pam in Purchasing, and call Angelo in Accounts." (Painkiller) Why? You’re using their real-life (painful) examples to show how your solution "kills" inefficient processes. Here’s how to transform your implementation approach from "vitamins" to "painkillers": 1. Identify the acute pain points your users experience today. 2. Create solutions that directly relieve these pain points—savings in time, effort, or stress. 3. Frame your messaging around the immediate impact, not just the long-term benefits. 4. Use real-life examples to highlight how the solution solves the specific pain points. When users feel immediate relief from their everyday challenges, they’re more likely to buy into the long-term benefits.
