Today I want to talk about the metrics you are tracking at your front desk. Over the years I have pinpointed 5 key metrics you NEED to track at your front desk. I’ve also noticed, when PCCs track and measure their success, they’re more likely to recognize when actions are successful and when they’ve fallen out. Without this knowledge, we don’t know what’s working, and what isn’t. But, before your PCCs can track their success, they must understand what they produce. You know, the patients who call after your cut off time for tomorrow… who think it’s ok to call and reschedule with late notice, or just cancel altogether. These cancellations in particular, create more work for your front desk team, and have a significant impact on your schedule control and efficiency. So how do we gain control over these patients? My cancellation prevention system is a clearcut way of preventing these types of cancellations. Visits Kept Per Week (VKPW) is a vital metric you should be tracking. It represents how well patients are adhering to their weekly prescribed visits. The closer it is to 100%, the better your patients are sticking to their care plans. How do you calculate it? %VKPW = (Actual Scheduled Visits / Prescribed Visits) x 100 You should also calculate this percentage at the end of the week so you can see how much they deviate as the week goes on. You want this number to be as close to 100%. Visits Kept Per Week is personal to each patient and you can track this statistic for each patient as well as for the entire active patient list.
