To sustainably improve KPIs over months and even years, your operations improvement “diet” should be more Mediterranean than Keto. The impact of following the PDCA cycle is great and far-ranging — affecting KPIs from customer satisfaction to profits — which is why this concept is one of the cornerstones of Lean production. The Five S’s refer to improvement activities aimed at increasing the cleanliness, orderliness and general organization of a work area for greater efficiency and the reduction of waste. The first three S’s are tactical, and the last two are strategic: 1. Sort — Identify the waste. This can be applied to any situation where there is waste that needs to be eliminated, but office and workspace organization is a common one. 2. Set in Order / Straighten — There is a place for everything, and everything should be kept in its place. This is the goal of the second S: Putting everything in its right place. 3. Sanitize and Shine — Dirt and disorder are defects, and the goal of this step is to eliminate them. In the office organization example, this would mean a thorough cleaning of the entire work area.  4. Standardize — Establish a common methodology for carrying out the first three steps. 5. Sustain — The culture of the organization must be changed to ensure that the gains you’ve experienced via the Five S’s process continue. Have you ever ordered a Sprite only to be served a glass of soda water without the sugary syrup? You take a sip, expecting a sweet, lemony soda, but instead taste plain soda water. So what do you do? Typically, you mention it to the waiter, and he corrects the defect. This is a CORRECTIVE action. When defects occur, businesses must perform corrective actions, or else they leave customers dissatisfied. The key to reaching higher and higher levels of quality, however, is when a company or organization follows up a corrective action with a PREVENTIVE action. The prevention step ensures the error happens only once and that the process is changed in the future to reduce or eliminate the likelihood of it happening again. In many cases, CPAS is an action performed in a way that not only maintains but also grows Customer satisfaction. To reach higher and higher levels of quality, a company or organization must follow a CORRECTIVE action with a PREVENTIVE action. When I owned a pharmacy, we delivered 3M+ prescriptions in nine years — an average of 1 prescription filled every 30 seconds. Would it have been helpful for a biller to adjudicate 3,000,000 prescriptions 3,000,000 different ways for the sake of variety or “art”? Of course not. Instead, Operating Procedures (OPs) were critical to ensure quality and drive costs down.    OPs are the most essential operations tools for a successful business when they are used properly. OPs are the house’s foundation, and without well-written process instructions, a business stands on shaky ground, at best. The At-A-Glance is a simple, one-page document that describes a process. It is intentionally more visual and less complete than an Operating Procedure (OP), and it’s one of my favorite process instruction systems. The At-A-Glance is also the path to 80/20 — getting 80 percent of the value for 20 percent of the effort — and can help you get quick traction. It can be especially valuable for teams that don’t have the time to write or read an Operating Procedure, which has more content, detail and breadth.
