  • In recognition of Cybersecurity Awareness Month, Pupfish is excited to feature a guest blog by cybersecurity expert Brian Busto from Stetson CyberGroup. This article emphasizes the critical role of a comprehensive data management plan in mitigating cybersecurity risks throughout the entire data lifecycle and safeguarding against potential breaches. Every organization can gain valuable insights from this piece, and we extend our gratitude to Brian for sharing his expertise. The Importance of Data Management In the evolving landscape of cybersecurity threats, data has become one of organizations' most vulnerable and valuable assets. As a cybersecurity expert with Stetson Cybergroup, working with school districts, local government, and businesses to create a robust Data Management Plan is about managing data for compliance and safeguarding an organization's critical data assets against breaches, insider threats, and loss. The importance of a Data Management Plan extends beyond operational needs; it addresses security concerns at every stage of the data lifecycle, ensuring that sensitive information is protected from emerging cyber risks. From a cybersecurity standpoint, a Data Management Plan is not just a blueprint for securing organizational data, but a proactive defense strategy. It covers data from its creation to its eventual disposal, supporting efficient data usage and compliance. In the face of increasing data volumes and sophisticated cyberattacks, a well-crafted Data Management Plan is a powerful tool against threats like phishing, ransomware, insider threats, and data exfiltration. • Data hoarding is the practice of storing large amounts of sensitive information that is no longer needed or rarely accessed, over long periods of time. Although this practice might seem harmless, data hoarding can make companies a glaring target for cyber criminals. The more retired sensitive information a company stores (on IT equipment such as computers, servers, hard drives, magnetic tapes, etc) the greater a potential target that company becomes. Since stored data is often highly confidential and highly vulnerable, data hoarding can quickly lead to a catastrophic breach, with devastating legal and financial consequences. Let’s talk about compliance! For most industries, there are regulatory standards for how long sensitive information can be stored before a secure data disposition plan must be executed. Storing data beyond that retention period could violate data privacy laws, putting your company at risk for legal penalties or fines. In addition to increased cybersecurity risks, retaining large amounts of retired sensitive data can result in high storage costs. Whether that data is stored on-site, in the Cloud, or in a data center, your company must constantly spend in order to properly maintain that data. With the added risk of a potential catastrophic breach, it’s important to ask: is it worth it? The Data Solution? Work with a reputable, NAID AAA Certified data destruction provider like Pupfish to develop and execute a data disposition plan tailor-made for your company. Free up your physical and/or digital storage space, and rest in easy in the knowledge that your company’s sensitive data has been properly and PERMANENTLY destroyed - eliminating the risk of a costly breach. • Many companies believe that storing outdated IT assets in a closet or warehouse indefinitely is a cost-efficient and straightforward solution. Out of sight, out of mind…right? Not always! It’s important to remember that even offline, obsolete electronics contain a large amount of sensitive information – in obvious places like HDDs and SSDs, and less obvious ones like networking equipment and printers. We’ve created a graphic to show you exactly how much sensitive data can be at rest in one pile of outdated electronics. And remember: data at rest is data at risk of a catastrophic breach! • It's September, so we're taking you Back to School with Pupfish. Today's topic: sensitive data. Make sure to read on carefully, in case there's a pop quiz! What is sensitive data? Sensitive data is confidential information that must be kept private, protected and confidential. It can include information like phone numbers, home addresses, social security numbers, medical histories, insurance information, tax records, and so much more! Where is sensitive data stored? Sensitive data can be found on any electronic device with a data storage drive, including computers, cell phones, some copiers & printers, servers, tablets, and more. It can also be stored on independent storage devices such as USB drives, CDs, magnetic tapes, and floppy disks! What can I do to protect my company's sensitive data? Work with a NAID AAA Certified data destruction company like Pupfish! We destroy sensitive data to 24 international standards for security, including NIST, DoD, HIPAA, and NYS Ed-Law 2D. You’ll receive data destruction certificates to hold up against any audit, e-recycling certificates to meet your Corporate Sustainability goals, and the peace of mind that your sensitive data is permanently and properly destroyed. • In addition to providing industry-best data destruction and e-recycling services, Pupfish is proud to offer a transparent and accountable client experience from pickup to destruction. Our secure chain of custody starts from the moment we take possession of your equipment and is maintained until all data is permanently deleted. We do not outsource ANY part of the data destruction process. At pickup, Pupfish team members will provide a “receipt of materials”, detailing the kind and quantity of devices received from a client. This initial document will be supplemented by in-depth, serialized reporting (including type of device, make, model, serial number, and weight of device) when equipment is processed at our secure Hauppauge facility. Upon final destruction, all clients receive thorough documentation including data destruction and e-recycling certificates, which should be retained for regulatory compliance purposes in the event of an audit. Pupfish takes pride in providing clients with a transparent view of the data destruction process. Clients are welcome to witness the process in person at our Hauppauge facility, with video recordings available upon request. Additionally, Pupfish is NAID AAA Certified for onsite degaussing and hard drive destruction, and can process devices at our client’s facility. For more information, or to view sample documentation, please contact us at info@pupfishusa.com.

  •  Pupfish is proud to operate on a Zero Landfill policy. Every piece of e-waste we process is either repurposed, or recycled by an R2 Certified recycling partner, which extends the sustainable life of the item and helps re-introduce raw materials into American manufacturing streams.    E-waste is currently the fastest growing waste stream in the world, with over 40 million tons of e-waste generated each year. The United States is one of the biggest offenders, recycling less than 20% of domestic electronic waste and illegally exporting waste to foreign countries for improper disposal.    At Pupfish, we know that 100% of e-waste is recyclable, and we’re proud to do our part to provide sustainable solutions for a sustainable tomorrow. Since opening our facility in 2020, we have maintained a recycling rate of over 99% by prioritizing reusing resources. Our goal is continuously improve operations until every item that arrives in our facility can be 100% repurposed or recycled into new technology. Pictured: Pupfish President David Faverio on one of our earliest recycling runs in 2021. These days, we process so much e-waste that our R2 partner comes to our facility!

  • Many companies will choose to shred hard drives as a form of “data destruction.” According to NSA standards, shredding drives down to 2mm² fragments is a sufficient destruction method. However, recent studies suggest that shredding hard drives (even down to the NSA approved size) may leave the door open for bad actors to retrieve important information.  Modern hard drives have become exponentially more information dense, which means more bits of sensitive data are packed into increasingly smaller drive areas. As such, a 2mm² (about 0.08 in) piece of hard drive can contain over 500,000 pages of data! It’s also critical to recognize that shredding is only a physical method of destruction. Shredding does not erase, scramble or overwrite existing data and, with the right tools, a cybercriminal would certainly be able to access information left on shredded pieces of hard drive.  In addition to leaving your company at risk for a catastrophic post-life data breach, shredding is also one of the least environmentally friendly options for data destruction. The machines used to shred down to NSA standards are bulky, and use much more power than a degausser or sanitizing software. True electronic data destruction is only properly and permanently achieved by employing sanitization or degaussing methods, both of which are proudly offered by Pupfish. We are dedicated to protecting your company’s sensitive data by doing things the right way. Therefore, we do not shred hard drives as a primary means of data destruction.
