Why don't Defence and Government Services contractors win as much business as they think they deserve? Our experience of working with these contractors is that their bids are often chaotic across three areas and what we call the ‘Chaos Triangle’: PEOPLE CHAOS This is typically where the same writers are being used on many bids or they are seconded from their day job. This means they are spread too thin and don’t give your bid the attention it needs so they: - write at night or on Sundays - deliver late, or not at all and the writing quality is often poor as they rush to get something/anything in. The result of people chaos is that the proposals aren’t compelling to an evaluator. CONTENT CHAOS This shows up in lots of ways: - There are too many ‘chiefs’ who each have an opinion on what should be in the proposal. This results in the proposal bouncing through an endless cycle of rewrites: - Writers start writing before they fully understand the requirement, the solution and, importantly, the win strategy - Sections are written in isolation so they lack coherence The result of content chaos is non-compliant bids. TIME CHAOS Poor time management results in a rush-job, ‘all-nighters’, and a mad dash to the line in the last few weeks. Last week I announced our new (and, frankly, amazing) bid writing course, that will help you prepare your team of writers for their next big contract bid. Many companies assume their staff can write high-quality bids simply because they know their subject matter inside-out. But without proper training in how to write proposals there is a high risk of a low score. Common issues include: - A failure to analyse the question: Not answering the question = not scoring any points! - Answering a different question (that hasn’t been asked): Being so proud of what they have built that they try to showcase everything they know about a product or service without directly addressing the requirements. This leads to a response that’s more about the whole kitchen sink than the taps the customer asked for. - Poor structure: Not writing the response in the order in which the question was asked, making it hard for evaluators to assess if all requirements have been met. - Page count issues: Struggling with or even ignoring page limits, risking key information being ignored or, worse, a non-compliant bid. - Jargon overload: Assuming that evaluators have the same technical knowledge that the writer has.. - Lack of evidence: Missing key case studies or proof points that bring the proposal to life. There is so much that can go wrong, so why take the risk? Proposal writing is a skill that can—and should—be taught. Training your team is one of the most effective steps you can take toward becoming a high-performing, winning organisation.
