As project managers, we're the navigators of complex waters, steering our teams towards successful outcomes. One of the most crucial elements for successful execution, our metaphorical compass, is a clear problem statement. When we’re handed a vague problem statement, it’s like sailing without a map—frustrating, disorienting, and often doomed to drift. Imagine this scenario: You’re tasked with launching a new software feature. The directive? “Make it better.” That’s it. No context, no specifics, just a nebulous request. As a project manager, you’re left scratching your head. What’s “better”? Faster load times? A sleeker UI? Enhanced security? Without clarity, you’re adrift in a sea of ambiguity. 🤔 Now, you face a choice. Do you forge ahead, cobbling together the requested solution based on assumptions? Or do you push back, demanding a clear problem statement? The pressure mounts—the clock ticks. Stakeholders expect results, but you’re stuck in a fog of uncertainty. I'm reminded of Simpli5 powered by 5 Dynamics from my MBA coursework: Explore, Excite, Examine, Execute, and Evaluate – most tasks require these dynamics, or phases. In project management, spending time in the "explore" phase is necessary to understand the complete situation, see relationships, and develop creative solutions. Skipping this step can lead to misunderstandings, misaligned expectations, and ultimately, inefficiencies in execution. When we rush into the Execution phase without a clear problem statement, we might end up with something that doesn't meet the actual needs or solves the real issues at hand. Moving forward, I'm advocating for a structured approach that includes robust exploration and brainstorming before diving into execution. In the following Authority Magazine article, Karen Wright Gordon shares the lessons she has learned throughout her tenure as CEO of multiple companies. A few of the insights include: 1. Teams with balanced workstyles are the most effective teams in the long run, but only if a leader is adept at blending those opposing work styles. 2. Leaders need to create a safe space for allowing failure. If your people are not failing, they are not trying anything new. Failure for the sake of failure is just stupidity. Failure is only valuable if you learn from that failure, and the only way to learn from it is to revisit it and think through what went wrong, why it went wrong and what can be done differently the next time. That is the value of the 5th dynamic, evaluate. 3. If you want someone to do their best work, praise them more often than you correct them.
