I recently had a conversation with my teammate at Watermark about how I organize my tasks in Asana. Humble brag, but I think I have the system down (at least for myself!) Here are the sections/categories I have in Asana and how I keep track of all of my tasks and projects: 1. Recently Assigned - This is my "inbox" in Asana and I treat it as such. Tasks live here until I'm ready to work on them or assign them as necessary. 2. Parent Tasks - Our team utilizes subtasks to keep projects moving forward. I typically assign myself a parent task as a reminder to keep an eye on projects and make sure they are moving forward. 3. Watermark - Internal projects and tasks live here. 4. Task Out - A big part of my role is assigning tasks to others. Tasks that need to be assigned to someone else in the future or reminders live here and are assigned to me until I have everything needed to pass them along. 5. This Week - This is where I focus most of my energy and attention. I tend to get overwhelmed looking at all of my tasks, so each week, I move items to this section and work through the list here. 6. Follow-Up/In Review - Here is where I keep all outstanding items that are in review. I keep these assigned to myself as a reminder to follow up or keep them moving forward and review this section throughout the week. 7. All Tasks - Again, I can get overwhelmed looking at all of my tasks so tasks with a due date in the future or not a high priority live here. Other things I do to keep my Asana organized: - I sort My Tasks by due date so I can prioritize accordingly. - I make a task for everything. Need to follow up with a client or a team member? There's a task for that. Any asks or personal to-dos? There's a task for that. Basically if it's not in Asana, I'm going to forget. - I take time each week to go through all of the tasks in My Tasks and make sure they're organized appropriately. This includes moving tasks from "All Tasks" to "This Week" every Friday. If you have a system for keeping things organized in Asana, share your tips with me! I'm always looking to improve my personal workflow to make sure I'm working effectively and efficiently!
