Administrative Assistant - Campus Safety and Security

Duties

Punahou School is currently seeking an Administrative Assistant for the Campus Safety & Security department who will be responsible for providing administrative and operational support to the campus security team. They will assist with the implementation and management of security protocols related to ID badges/access cards, visitor management, lost and found items, and training. Primary duties include, but are not limited to:

  • Answers phones, takes messages, screens calls, and greets visitors (internal and/or external). Responsible for ensuring that appropriate parties are alerted concerning any issues of significance.
  • Composes and/or responds to complex correspondences; updates department documents as instructed by the Director.
  • Coordinates and schedules meetings for the department.
  • Responsible for general clerical duties including, but not limited to, managing paperwork, handling department mail, data entry, making copies, ordering supplies, and scheduling equipment repairs.
  • Compiles data and prepares reports and presentations. Assist in running reports related to crime statistics, calls for service, and other security metrics using RMS (report management system) and CAD (computer-aided dispatch) software.
  • Assist in transitioning the management of ID badges and access cards from IT to the Campus Security team for all faculty and staff.
  • Assist with procedures for the intake, logging, and management of lost and found items, focusing on items with a tangible dollar value or identifiable owners.
  • Assist in managing a centralized visitor check-in system with satellite offices to ensure efficient visitor processing.

Position Details

  • Work Year: 12 Months
  • Work Hours: Monday - Friday, 7:30 AM - 4:00 PM, Schedule may vary based on operational needs
  • Starting Hourly Rate*: $20.00/Hour

Minimum Qualifications

  • Bachelor’s Degree or equivalent combination of education, experience, and training.
  • Two (2) years of administrative experience, preferably in public safety or campus environment.
  • Proficiency in case management, compiling data, and generating reports.
  • Advanced proficiency in Microsoft Office Suite and Google products.
  • Certification in CPR/First Aid or other emergency procedures is preferred.
  • Strong organizational and administrative skills.
  • Excellent communication and interpersonal skills.
  • Punahou School offers a comprehensive total rewards program that includes competitive pay and benefits. The pay rate, if displayed, is the minimum hourly rate for the position. Pay for selected candidates will be determined by various factors such as knowledge, skills, abilities, relevant training and experience, and internal equity.
