About the location:

About The Role

Reporting to the Regional Vice President and General Manager, you will manage administrative responsibilities and coordinate the activities of the Executive Office in matters pertaining to appointments, transportation, mail, travel arrangements, expense reports. Coordinating VIP guest bookings arrivals, experiences, assisting in the operation when needed and other general affairs. You will be responsible for handling issues that may require sensitivity and the use of sound independent judgement, as well as for managing a complex schedule and dealing with shifting priorities.

What You Will Do

  • Perform administrative tasks, including typing, scanning, filing, handling mail, coordinating appointments for Hotel Manager and General Manager.
  • Prepare written correspondence on behalf of Executive Management.
  • Handle reservations in Opera for VIP/Elite guests as needed.
  • Execute travel arrangements for Executive officer members as needed.
  • Compile Monthly Guest comment analysis and ensure distribution of results.
  • Perform daily follow up on Medallia/guest comments and correspond to guest and with appropriate Department and Division Heads.
  • Offer support to operational departments as needed, greet VIP guests and provide lobby coverage.
  • Handle complaints in absence of GM and inform him/her of action taken and needed follow up.
  • Work closely with People and Culture in coordinating candidate interviews, employee relations communication, and other needed actions.
  • Assist with Glitch resolution with the guests on behalf of Executive Office.
  • Maintain master list of charities and donations on behalf of hotel.
  • Comply with all Four Seasons Standard of conduct, working harmoniously with colleagues, keeping work areas neat and professional and maintain confidentiality at all times.

What You Bring

  • Associate or Bachelor’s degree in business administration or hospitality
  • 3-5 years prior experience reporting directly to senior management
  • High proficiency in Microsoft suite and Opera Hotel software
  • Ability to read/write and speak in English
  • Ability to compose business communications at the highest level
  • Solid work ethic, high level of integrity and a concern for quality, cross cultural sensitivity and customer service orientation
  • Hours: Typically 8 hours per day, with periodic overtime or weekend work possible
