Administrative Assistant III – Remote (U.S.)

Background:

Kent, Campa and Kate Incorporated (KCK) is a federal contracting company that provides professional services to Government Agencies. We are currently seeking candidates for an Administrative Assistant position supporting the Department of Health and Human Services Office of the Inspector General.

Position Summary:

The Office of Inspector General (OIG) serves to protect the integrity of the Department of Health and Human Services (HHS) programs, as well as the health and welfare of the beneficiaries of those programs. OIG operates with a nationwide network of audits, investigations, and evaluations, working to identify and report program and management issues, while recommending solutions to improve efficiency and effectiveness.

The Office of Evaluations and Inspections (OEI) within OIG conducts broad evaluations of HHS programs. To help facilitate the timely processing of evaluation reports, OEI is seeking a dedicated and organized Administrative Assistantto provide critical administrative assistance to senior executives and staff.

Requirements:

  • Experience Minimum:At least five (7) years’ experience in corporate, or Federal Government agency providing administrative support
  • Education Minimum:Associates Degree
  • U.S. Citizenship and fluency in English language
  • Excellentoral and written communication skills to includeproficient detail to grammar, syntax, spelling, and punctuation
  • Ability to interact effectively in a multicultural setting
  • Superior organization skills with a high level of attention to detail
  • Excellent customer service skills,including strong writing/editing/proofreading skills
  • Effective at prioritizing tasks, managing workload, time, and energy in a fast-paced environmentthat shifts priorities quickly to meet deadlines and budget requirements
  • Experience effectively utilizingMicrosoft Office business applications software sufficient to meet the needs of their specific position (Office 365 Platform, Microsoft Outlook, Excel, Teams for Broadcast, PowerPoint, SharePoint, Access)
  • Knowledge of Federal Travel Regulations and experience with the Federal Travel System Concur
  • Experience with timekeeping and federal timekeeping regulations
  • Proficiency in using electronic document - routing / tracking systems or other complex databases

Preferred Requirements:

  • Secondary education, such asbachelor’s or master's degrees

Working Duties:

The Administrative Assistant will be responsible for a wide variety of administrative duties, including but not limited to:

  • Coordinating and preparing documents for review, including managing deadlines and requests from staff
  • Inputting and maintaining accurate timekeeping data and leave records for OIG staff
  • Scheduling and coordinating meetings (via MS Teams and in-person), preparing agendas, ensuring necessary logistics are in place, and documenting meeting outcomes
  • Assisting with file maintenance, document management, and processing personnel actions
  • Supporting performance management processes and preparing entry-on-duty packages for new employees
  • Providing support for work planning activities, including updating work tracking and report proposal queues
  • Assisting with budgetary matters, including tracking expenditures, reviewing and ordering supplies, and managing travel arrangements according to Federal Travel Regulations
  • Preparing, assembling, and reviewing various correspondence, reports, and documents
  • Offering administrative support to senior executives, particularly in scheduling, business travel, and meeting coordination
  • Writing emails, managing calendars, and handling administrative office tasks such as copying, scanning, answering phones, and tracking deliveries
  • Maintaining both paper and electronic administrative files
  • Routing and tracking OMP (Office of Management Programs) items in the SharePoint system and managing Litigation Holds for OMP
  • Planning and coordinating meetings and special events for the OIG, such as the Administrative Working Group and OMP All Hands meetings
  • Providing report formatting assistance and conducting research to verify data accuracy in reports
