In the role of Administrative Project Coordinator, we'll count on you to:

  • Prepare, assemble, and oversee reproduction of routine deliverable documents such as drawings, specifications, and design reports. Tasks may include preparation of forms and letters, maintenance of contact and distribution lists, control, and reproduction of documents.
  • Schedule, coordinate and provide administrative support to internal teams and external client meetings. Tasks may include scheduling meetings, reserving conference rooms, taking, and distributing meeting minutes, coordinating catering services and travel reservations.
  • Maintain project files in accordance with corporate standards and project document control systems. Tasks may include organizing, filing and archiving documents in both electronic and printed formats.
  • Assist project managers in maintaining and updating project schedules and facilitating monthly project reviews.
  • Assist project managers coordinate communication with multiple project team members, including individuals located in other HDR offices and consultant offices.
  • Assist project teams adhere to corporate quality standards and conduct quality assurance/quality control reviews.
  • Executes special assignments under direction of the Project Managers with minimal supervision.
  • Other duties of the position may be providing support for staff including back-up reception duties, directing telephone calls, delivering messages, greeting employees and visitors, scheduling conference calls and distributing incoming faxes and mail. You will also complete word processing as needed including letters, memos, reports, and labels, meeting set-up, travel arrangements, light accounting and perform other miscellaneous tasks as requested.
  • Type, format and organize project documents, reports, specifications, and correspondence
  • Order insurance and monitor insurance certificates
  • Apply company quality assurance guidelines and procedures for project document management
  • Assist with and help coordinate meetings and presentations
  • Exhibit professionalism with clients
  • Work with multiple Project Managers and project teams as needed
  • Assist with project guides, project reviews, project invoices and expense reports as needed
  • Perform other duties as needed

Preferred Qualifications

  • Bachelor’s degree preferred.
  • Knowledge of A/E industry desired.
  • Proficiency with Bluebeam Revu.

Required Qualifications

  • Associate degree in a closely related field or combination of education and relevant experience
  • A minimum of 1 years related experience
  • Proficiency in Microsoft Word and Excel
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
