Job Description Summary

The Enrollment Admissions Verification Agent fulfills both the administrative and customer service requirements to evaluate and process applications and academic records of prospective and returning students. The POC supports the contact centers of Enrollment Management to answer questions regarding a student’s file, whether it be program questions, keying documents, applications, decisions, or processing manual registrations. They are responsible for developing and maintaining effective communication as well as disseminating information to staff regarding student data and university policy. The main responsibilities are to provide communication support that in turn will increase productivity, enhance workforce/organization, lower or remove performance deficiencies, meet regulatory requirements, and support the University’s mission and goals.

Essential Functions And Responsibilities

Must have extensive knowledge of all Verification areas and LUO program requirements in order to problem solve and handle complex student files. Must be able to process the multiple admissions documentation. Must be able to handle a fast-paced work environment and exhibit the ability to multitask, as it will be required at times to work on multiple student situations at a time. Must be able to maintain a high quality of work. Answer questions regarding accreditation, current policy, transcript request policies and/or the stage of a specific request, documentation needed, and documents that may or may not be acceptable based on admissions standards. Provide chat and email support to Enrollment call center to answer questions regarding the following: admission requirements across all levels, program requirements across all levels, course requirements across all levels, manual Registrations across all levels. Have a customer service mentality to assist Counselors/Advisors with student situations via walk up visits and through chat (Finesse). Process admission decisions at all levels (DR, GR, UG, IN). Recognize Registrar Office processes in order to submit curriculum updates, re-admits, and degree changes. Handle complex situations through Beacon or the Accepts and POC inboxes. Perform audits in order to maintain accreditation compliance When applicable, request checks from the Accounting Department to pay for transcript. Work with Academic Departments to resolve questions about student applications. Must have a working knowledge of programs in order to process documents, decisions, or answer questions. Review and process all prerequisite override requests submitted by both NES and Advising Review and process late add requests submitted by both NES and Advising Correspond with students via email in regard to appeals, admission decisions, or various questions regarding their applications. Attend departmental huddles to provide feedback on recent changes or areas that may need to be addressed. Communicate errors and request follow up resolution in a timely manner to the evaluators and their Assistant Director when an issue arises.

QUALIFICATIONS AND CREDENTIALS

Education and Experience

High School diploma or GED. Applicants must have 18 months of experience working in Admissions Verification, or an equivalent position. Must be able to type 40-50 words per minute. Prefer post- secondary education, experience with Sharepoint, APEX, Microsoft Office, Etrieve and Banner knowledge. All applicants must have the ability to work well within a team atmosphere and the capability to represent both the department and the university in a professional manner.

ABILITIES AND COMPETENCIES ESSENTIAL TO THE FUNCTION OF THE JOB

Capability to represent the department and university in a professional manner Proficiency in Microsoft Outlook and Word, and a common knowledge of Access and Excel Exceptional verbal and written communication skills.

Work Environment

The working environment in which one will typically perform the essential functions of this position is a climate-controlled office setting. It is well lighted and the noise level is moderate.
