The Client Operations Analyst focuses on the day-to-day execution of the firm’s back-office operational functions with specific attention in the areas of alternative investments administration, project management support, portfolio accounting, trade and asset value reconciliation, basic reporting, and process optimization. The Client Operations Analyst is expected to be the internal subject matter expert (SME) for Salesforce and DocuSign.
Overall Responsibilities
Develop and maintain the CRM system by ensuring data integrity through regular audits, building workflows, processes, and dashboards, managing tool integrations, and overseeing the rollout of enhancements.
Train teams on custom-built visibility dashboards and enhanced process workflows.
Provide administrative support for Gratus’ alternative investments platform including but not limited to:
Submit and track subscription documents and custodial forms
Work with fund advisors and fund operations administrators on executing client subscriptions
Update alternative investments reporting.
Facilitate fund transfer process with client, fund, and custodian
Manage manual security snapshots
Manage all terminations and retitles
Support daily operational tasks such as new client account setup, ongoing account maintenance, client terminations, and reconciliation.
Manage client operations and cross-functional alignment projects.
Prepare and distribute internal reports and client quarterly reports
Create and analyze ad hoc reports
Liaise with technology vendors as needed.
Qualifications
Bachelor's degree required
Minimum 3 years of operations and/or service experience in the financial services industry; RIA experience preferred
Experience with relevant technology such as Salesforce CRM, Tamarac, and custodian platforms
Intermediate to advanced proficiency in Microsoft Office Suite
Excellent interpersonal, verbal, and written communication skills
Ability to work well in teams and in fast-paced, cross-collaborative environments
Confidence to think analytically and deliver solutions to complex challenges
Versatility, flexibility, and an ability to work within constantly changing priorities with enthusiasm
