ASSISTANT TO ACADEMIC SCHOOL DEAN

GRADE 11

BARGAINING UNIT STATUS: Non-bargaining FLSA: Exempt

BASIC FUNCTION

Oversee, manage, and coordinate administrative functions of the office of the school dean, particularly around coordinating processes related to faculty as defined by collective bargaining agreements

Essential Duties & Responsibilities

  • Coordinate and provide administrative support for faculty recruitment, hiring processes, and general search committee support in collaboration with the provost, HR, school dean, department chairs and/or program coordinators.
  • Advertise faculty vacancies as outlined by the recruitment plan
  • Organize, coordinate, and provide administrative support and monitoring of all contractual processes for faculty review, promotion, and tenure, as well as salary points, seniority tracking, faculty workload assignments, and sabbaticals and fellowships.
  • Assist school dean with coordination of budget Monitor expenditures and process budget documents in coordination with the Finance and Compliance shared service division.
  • Prepare special reports to support the work of the school dean involving background research, compiling and analysis of data from a variety of sources.
  • Assist Dean with all process and procedures related to curriculum including School Curriculum Committee meetings, creating agendas, completing meeting minutes and sending out call for agenda items.
  • Create curriculum planning calendar including all deadlines for College Curriculum Committee, Academic Policies Committee, Distribute to department chairs.
  • Coordinate School communication strategy including updating School website regularly, including updating meeting minute files, college and university resource sites, committee information, advising information, and other information as needed.
  • .Serve as liaison with students, faculty, staff, parents, Trustees, alumni, vendors, and/or other constituencies by providing information on school programs.
  • Conduct training and serve as lead to the School’s academic support staff as needed.
  • Explain, interpret, and enforce standard policies and procedures for internal and external constituents.
  • Refer, respond, or escalate issues or requests appropriately.
  • Train and supervise the daily activities of assigned student workers.
  • Perform other related duties as assigned.

SUPERVISION RECEIVED

Direct supervision received from Dean of School.

SUPERVISORY RESPONSIBILITY 

Supervise student employees.

Minimum Qualifications

Associate's degree plus a minimum of six (6) years of relevant administrative experience, preferably in an education setting or a combination of education and experience from which comparable knowledge and skills are acquired.

Knowledge

KNOWLEDGE, SKILLS, & ABILITIES

  • Understanding of faculty hiring and review, promotion, and tenure processes, including best practices for recruiting and retaining diverse faculty.
  • Understanding of administrative processes to support faculty workload assignments.
  • Understanding of academic policies, procedures, and supports for student success.

Skills

  • Excellent interpersonal and oral and written communication skills.
  • Excellent supervisory skills to support student workers.
  • Strong organizational and problem-solving skills.
  • Intermediate skills with Microsoft Office 365 applications including skills in Word, Excel, OneDrive, and Teams and experience with (or ability to learn) technologies such as Colleague and UKG.
  • Ability to track, maintain and report on data
  • Proven record of accountability and follow-through with the ability to meet deadlines.

  • Ability to maintain confidential information. The incumbent has knowledge of faculty compensation practices and internal personnel relations issues.

  • Demonstrated positive attitude regarding Vermont State University and a desire to improve its operations as a statewide hybrid institution.
