Overview:

The Assistant to the Editor in Chief (EIC) is an organized, confident, and collaborative individual with impeccable communication and problem-solving skills and a proactive attitude. To be successful in this role, you will anticipate the EIC’s needs and think days, weeks, and months ahead in order to action tasks accordingly. At the same time, the role will often require quick and careful responses to urgent requests - so flexibility, efficiency, and remaining calm under pressure are imperative.

In this dynamic role, you will interact extensively with Condé Nast executives and figures in the restaurant/dining, food, and media industries, as well as have access to sensitive and confidential information regarding the BA/Epi brands and Condé Nast’s business as a whole. Therefore discretion, confidentiality, attention to detail, and professionalism are paramount.

Primary Responsibilities:

  • Provide daily administrative support, including but not limited to calendar/schedule management, travel arrangements, coordination of external engagements (i.e. restaurant reservations), and expenses for the EIC.
  • Proactively filter and facilitate the EIC’s meetings with internal staff and external stakeholders.
  • Assist with preparation of presentations or other materials for important meetings or events.
  • Ensure EIC’s preparedness for external engagements/appearances, including booking hair/make-up and accompanying EIC to external engagements, as needed.
  • Handle mail, packages, returns and messengers, including orchestrating thank you responses to gifts and other invitations.
  • Receive and occasionally host guests of the EIC at 1 World Trade Center.
  • Liaise closely with the events team for any BA/Epi events that EIC is participating in; including but not limited to collating guest list names, communicating RSVP confirmations; and contributing to and trafficking collateral for EIC approval
  • As needed, assist the Editorial Operations and Test Kitchen teams with administrative tasks such as invoice processing, freelancer/contributor contracts, data entry, etc.
  • Additional responsibilities as assigned.

Desired Skills and Qualifications:

  • 1-2 years of administrative support experience in a fast-paced environment, ideally at a digital media or lifestyle brand/company/organization.
  • Strong communication (written and verbal), collaboration, and interpersonal skills.
  • Proficiency with G Suite (Mail, Calendar, Docs, Sheets, and Slides). Tech savvy with the ability to quickly learn and navigate new software tools, technologies, and processes.
  • Strong problem solving skills and attention to detail with the ability to multitask, anticipate needs, and follow-through in a fast-paced environment
  • Self-sufficient, resourceful, and proactive.
  • Discerning judgment with the ability to handle confidential and sensitive information with discretion, diplomacy, and tact.
  • Interest in food/dining/cooking culture.

The expected base salary range for this position is from $56,500-$68,000. Salary offers are based on a wide range of factors including but not limited to relevant skills, training, experience, and education.
