Overview: As the Clinic Administrator at our Pediatric ABA (Applied Behavior Analysis) Clinic, you will play a crucial role in ensuring the smooth and efficient operation of our clinic. You will oversee administrative functions, manage staff schedules, coordinate patient care activities, and maintain a welcoming and organized environment for our young patients and their families.


Key Responsibilities:


Administrative Management:

  • Manage day-to-day administrative operations of the clinic.
  • Ensure compliance with clinic policies and procedures.

Patient Coordination:

  • Schedule patient appointments and manage the appointment calendar.
  • Coordinate intake and discharge processes for patients.
  • Communicate with families regarding appointments, treatment plans, and billing inquiries.

Staff Support:

  • Coordinate staff schedules and manage time-off requests.
  • Assist with recruiting, hiring, and onboarding new clinic staff.
  • Assist with making materials and organizing information.

Financial Oversight:

  • Assist in billing, inputting and coding procedures, ensuring accuracy and compliance.
  • Manage patient insurance verification and authorization processes.
  • Monitor clinic expenses and assist in budget management.

Facility Management:

  • Maintain a safe, clean, and child-friendly clinic environment.
  • Coordinate maintenance and repair activities as necessary.
  • Ensure compliance with health and safety regulations.

Quality Assurance:

  • Implement quality improvement initiatives to enhance patient care and operational efficiency.
  • Monitor patient satisfaction and address any concerns or feedback.

Qualifications:

  • Proven experience in healthcare administration or clinic management, particularly in pediatric settings.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills, especially in dealing with children and families.
  • Proficiency in medical billing software and electronic health records (EHR) systems.
  • Knowledge of ABA therapy practices and procedures (preferred).

  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility to adapt to changing clinic needs and priorities.
  • Commitment to providing exceptional support to families.
