We’re seeking an energetic and motivated Office Manager with 4+ years of experience to curate a warm and welcoming workplace that supports employee productivity and engagement. In this role, you will work closely with our Administration, Facilities, and Leadership teams to establish policies and implement strategies that make for a safe, innovative, and collaborative workspace. You will ensure that our workplace continues to fulfill the needs of the organization and our team as a whole. The ideal candidate will be comfortable working in a fast-paced environment and is energized by being the point person for a variety of critical path items. The Role:

Reception and Office Management

  • Act as the receptionist and point-person for team members and visitors to ensure everyone has an exceptional experience while on-site
  • Manage ordering and stocking of office provisions with the vendor (beverages, snacks, health products, office supplies)
  • Manage daily company lunch catering service, and set up special company lunches as needed
  • Maintain excellent relationships with our vendors, facilities support personnel, and building managers.

Administrative Support

  • Provide occasional administrative support as needed to key members of the company by serving as backup Executive Assistant to CEO, CSO, and CTO
  • Assist in running company-wide meetings such as Town Halls and seminars

IT and Technical Support

  • Act as the first line of defense for our IT team by troubleshooting minor technical issues related to conference rooms, Zoom glitches, forgotten laptop chargers/adapters etc.

Employee Experience And Engagement

  • Proactively identify areas where we can improve the employee experience by working cross-functionally to make positive changes
  • Play a key role in welcoming new employees by owning important pieces of the Onboarding checklist
  • Act as point of contact for new hires and organize all onboarding activities and informational resources
  • Lead our Party Planning Committee/Committee to Plan Parties with enthusiasm - help the team celebrate birthdays, work anniversaries, holidays, host bi-weekly Happy Hours

Records and Financial Management

  • Manage electronic and hard-copy filing systems of packing slips to maintain financial accuracy

Special Projects

  • Participate in special projects as they come up based on your interests, career goals, and capacity

Your Qualifications

  • Bachelor’s Degree preferred
  • 3-5+ years of relevant experience in office management/administration
  • Previous experience in biotech, hospitality, or operations preferred

  • Ability to manage conflicting priorities and deliver critical assignments on time and within budget
  • Proficient in Microsoft Office (ideally, advanced knowledge of Outlook), Slack, Zoom and are relatively technically savvy all around
  • Excellent written and verbal communication skills
  • Attention to detail – you know that the little things are the big things
  • Ability to work with minimal supervision and maintain a high standard of confidentiality
