Creative Operations Manager - Remote | WFH

Are you ready to take a pivotal role in driving the success of our dynamic creative team? We're looking for a full-time Creative Operations Manager who will ensure a smooth and efficient workflow, effectively manage resources, and optimize our creative output.

Key Responsibilities

Resource Management:

Internal Team: Oversee weekly timesheet reviews, track team and individual utilization, assist with personnel coverage, and manage PTO to ensure the creative team's bandwidth and efficiency.

External Resources: Build and maintain a diverse network of freelancers, handle onboarding and paperwork, and identify the right individuals for any project need. Manage the invoice process and coordinate with finance for payments and issue resolution.

Vendor Relations: Maintain relationships with vendors and external partners, ensuring quality and timely delivery of services. Manage the invoice process and collaborate with finance for payments and troubleshooting.

Support & Facilitation: Provide ongoing support to the creative team by addressing operational hurdles and facilitating necessary resources.

Process Optimization

Develop and implement processes and systems to boost productivity within the creative team.

Maintain and update key touchpoints and templates to streamline workflows and reduce costs.

Continuously review and improve processes, gather feedback, analyze performance data, and implement changes to drive improvement and innovation.

Identify and implement tools and technologies to enhance workflow, creative collaboration, project management, and inspiration.

Quality Control

Ensure our creative output meets and exceeds expectations by facilitating regular reviews, encouraging open feedback, and identifying hurdles.

Coordinate between departments to ensure smooth project execution and continuous improvement.

Facilitate training and provide support to enhance the creative team's skills, knowledge, and capabilities.

Compliance & Risk Management

Monitor compliance with legal and contractual obligations related to creative productions.

Oversee Creative Project Management

Budget Management: Control budgets for creative projects, monitor expenditures, and ensure cost-effectiveness.

Schedule Management: Develop and maintain timelines for creative projects, ensuring deadlines are met.

Internal Projects: Collaborate with senior leadership to manage, develop, and deliver internal projects, such as marketing initiatives and special projects.

Typical Day/Week

Review and approve timesheets, focusing on accurate reporting.

Track individual utilization and pull reports biweekly.

Stay on top of the pipeline, proactively identifying stress points, projecting resource needs, and pulling in the right talent.

Manage PTO and facilitate backfill coverage.

Network to build and maintain our freelance database.

Keep track of successes and challenges, rank talent, and add notes and considerations.

Pulse-check with top freelancers on their availability biweekly.

Onboard freelancers on processes, templates, and necessary access.

Build, roll out, and ensure compliance with creative processes and templates.

Have weekly check-ins with department heads to identify needs and hurdles.

Liaise with HR and finance/accounting, complete paperwork, manage billing, and monitor profitability.

Hold weekly touch-base meetings with senior creative leaders to define hotlists and internal needs.

Run creative huddles, focusing on effective solutions and open communication.

Mentor creative project managers.

Qualifications

Bachelor's degree.

Minimum of 5 years of experience in creative operations and project management within a creative or experiential marketing agency.

Proficiency in project management software and content management systems.

Proven track record of successfully implementing new processes and systems.

Strong listening, written, and verbal communication skills.

Ability to communicate assertively and tactfully.

Confident in anticipating and resolving problems.

Exceptional attention to detail, organization, and follow-up.

Ability to thrive in a fast-paced environment.
