Curriculum, Instruction, and Assessment Department Specialist

Job Title: Curriculum, Instruction and Assessment Specialist (12 Month Work Calendar)

Salary Range: Classified - District Department Specialist ($20.80 to $27.99 per hour)

Reports to: Director of Curriculum, Instruction & Assessment

Job Summary: To provide a wide variety of administrative support services to the CIA Department including project management, state reporting, database maintenance, and materials management.

Essential Job Functions

  • Administrative support for the CIA Director to include preparing and distribution of correspondence, scheduling meetings and maintaining files
  • Assists other CIA personnel as may be required for the purpose of supporting them in the completion of their work activities. Knowledge of project management principles and documentation methods
  • Implement CIA budgets including general fund, federal and local grants that are overseen by CIA administrators
  • Coordinate contracts with vendors and suppliers, including managing invoicing, and payment processes
  • Manage vendor invoices and work closely with the finance department to ensure they are paid accurately and on time
  • Reconcile monthly expenditures for purchase orders and department credit cards
  • Maintain files and bookkeeping for purchasing paperwork.
  • Fields questions and concerns from stakeholders that are received at the district level and refers them to the appropriate administrator when necessary
  • Operates and maintains data in spreadsheets, databases, and other systems to ensure accurate record keeping or various types of data
  • Provides purchasing support and consultation services for CIA staff
  • Handles shipping and receiving for the CIA Department
  • Provides administrative assistance for CIA Department staff
  • Manages office supplies and equipment
  • Tracks department budget, expenditures, and related records
  • Support all CIA team members as necessary
  • Maintains effective working relationships with other members of the CIA Department as well as other school personnel and community members.
  • Prompt and regular attendance is required.
  • Performs related duties as assigned.

  • Participates in various meetings and professional development activities for the purpose of sharing information and/or improving one's skills/knowledge.
  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.

Essential Job Requirements - Qualifications

  • High level of skill in the use of financial management and budgeting applications.
  • High level of computer skills, especially word processing, presentation, database, Google Suite of products and spreadsheet software.
  • Ability to readily learn software programs for administrative documentation.
  • Knowledge and skill in electronic and hard-copy records management.
  • Ability to operate a variety of office equipment with skill and independence.
  • Knowledge of school district operations.
  • Ability to apply diplomacy on behalf of the department.
  • Ability to maintain a high level of ethical behavior and confidentiality of information.
  • Ability to absorb and retain information quickly.
  • Highly self-motivated and self-directed.
  • Ability to diagnose and solve problems, and exercise independent judgement correctly.
  • Ability to plan, organize, and prioritize work, complete tasks, and meet deadlines in a timely and efficient manner
  • Exceptional customer service orientation
  • Ability to maintain accurate records
  • Ability to establish and maintain cooperative relationships with persons with diverse technical knowledge and skills, including district administrative staff, school building staff and students.
  • Ability to manage multiple tasks and projects.
  • Strong customer service and interpersonal skills.
  • Bachelor’s degree preferred; business management or other discipline related to the duties of the position. Applicable combination of job experience and/or education may be substituted for degree.
  • 3-5 years minimum of applicable administrative office experience in technology or related field.
  • Demonstrated proficiency with software to prepare reports, budgets and correspondence in both Microsoft and Google documents and spreadsheets.
  • Ability to communicate professionally and effectively, both orally and in writing.
  • Proficiency in multiple modes of communications (e.g., voice, data, messaging).
  • Performs job related tasks with a minimum of supervision.
  • Performs in an accurate manner, uses initiative and judgment.
  • Comprehends and follows oral and written instructions.
  • Ability to maintain confidentiality of sensitive information related to personnel, district financial and legal matters.
  • Presents a positive attitude by appearance, personal habits, and punctuality.
  • Carries out work responsibilities effectively under pressure of deadlines, interruptions, and new or emergency situations.
  • Ability to work with a diverse population.
  • Ability to respect confidential information.
  • Spanish language preferred.
  • Vaccinated against Covid-19.

Physical Demands

The employee is frequently required to walk; sit; and use hands for fine manipulation, handle or feel and reach with hands and arms. The employee is occasionally required to stand and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and peripheral vision.

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The employee may be exposed to bloodborne pathogens. The noise level in the work environment varies but is usually moderate.

Terms of Employment: Performance of this position will be evaluated annually in accordance with Board policy on evaluation of classified staff.
