Overview:

NJPAC is seeking a dynamic and experienced Director of Events to join our team. The Director of Events will be responsible for overseeing all aspects of event planning, management, and execution, ensuring the seamless delivery of world-class experiences for our patrons and clients. The Director of Events will produce NJPAC’s signature fundraising events, including the Spotlight Gala and the Spring Luncheon & Auction, which raise over $2.5 million annually, as well as other development events, including pre-concert stewardship events, cultivation events in private homes, 3-4 Business Partner Roundtable breakfasts a year, the annual TD Jazz Dinner and other development programs, events and receptions. In addition, the Director of Events will produce key Women@NJPAC programs including the Leading Ladies Panel/Annual Meeting, Gathering of Givers, Board meetings and annual Founders Luncheon.

The Director of Events must be able to use and entrepreneurial and results-oriented approach to lead and drive the creating, production and execution of mission-driven events. They must be able to integrate fundraising goals and strategies into event planning, manage logistics and details with ease, and bring exceptional interpersonal skills to work with an influential and diverse audience.

Key Responsibilities:

  • Leadership
  • Coordinate with Managing Director, Women@NJPAC and lead events team comprised of 1 FT Manager of Events and part time employees and volunteers
  • Event Management and Production:
  • Develop and implement comprehensive event plans in alignment with NJPAC’s mission, goals, and objectives.
  • Collaborate with internal stakeholders, including programming, marketing, operations, house management and development teams, to ensure events meet organizational priorities and objectives.
  • Serve as the primary point of contact for external vendors and consultants to ensure timely completion of deliverables.
  • Oversee all logistical aspects of events, including venue selection, scheduling, vendor management, budgeting, and contract negotiation.
  • Conduct research and stay abreast of industry trends to continuously improve event offerings and experiences.
  • Ensure events are executed according to established timelines, budgets, and high-quality standards.
  • Collaboration with Women@NJPAC Board of Trustees:
  • Collaborate on the development and implementation of all events, programs, and stewardship receptions, including Gathering of Givers, Leading Ladies Panel/Annual Meeting and pre and post receptions.
  • Provide guidance and support to the Women@NJPAC Board in leveraging their networks and resources to enhance the visibility and impact of NJPAC’s events and initiatives.
  • Work closely with Women@NJPAC Event Co-Chairs and Committees, attending meetings and following up with board members as needed
  • Serve as a liaison between the Women@NJPAC Board and other internal departments to ensure alignment and coordination of efforts towards shared goals and objectives.
  • Marketing and Communications:
  • Work with the marketing team to develop and implement comprehensive marketing strategies for events, leveraging various channels including digital, social media, print, and traditional media.
  • Oversee the creation of all event marketing materials including branded event concepts, save the dates, invitations, eblasts, journals and all event collateral
  • Develop strategies for marketing events and programs
  • Ensure brand consistency and adherence to NJPAC’s brand guidelines in all marketing and social media communications.

Qualifications:

  • Bachelor’s degree
  • Minimum of 5 years of experience in event planning and management, preferably in a non-profit organization, performing arts center, entertainment venue, or similar setting.
  • Proven track record of successfully planning and executing a variety of events, ranging from intimate gatherings to large-scale productions.
  • Strong leadership, communication, and interpersonal skills, with the ability to effectively collaborate with diverse stakeholders and build consensus.
  • Excellent organizational and project management abilities, with keen attention to detail and the ability to manage multiple priorities simultaneously.
  • Proficiency in event management software, Microsoft Office Suite, and other relevant technology platforms, e.g. Salesforce
  • Excellent written and verbal communication skills, including the ability to articulate and merchandise the case for support at the core of fundraising events
  • Knowledge of industry best practices, trends, and emerging technologies in event planning and management.
  • Ability and expectation to work evenings, weekends, and holidays as required by event schedules.
