Job Summary

We are seeking a detail-oriented Events Coordinator to assist in the execution of 50+ customer facing events for RAM Mounts. This position coordinates travel for the event attendees, the logistics for booth equipment, and overall booth presence.


Events include, but are not limited to:

  • Classic Trade Shows with Exhibitors
  • Events that require a crated, pop-up, or easy-up booths
  • Non-typical events that are branded events, where the focus is on branding and brand activation.


Sales events include, but are not limited to:

  • Events that do not require marketing promotion.
  • Sales Opportunities, such as Client Meetings, walking Trade Shows (not exhibiting), Conferences, and Partner/Dealer Shows
  • Sales Training events


Specific Duties

  • Plan booth shipping timeframes for all events to ensure booth availability for registered events.
  • Track shipping of booth and other materials to and from events to ensure arrival at destination on target date.
  • Manage Salesforce event campaign deadlines and event tracker checklist.
  • Process sample requests from event attendees.
  • Independently manage event logistics.
  • Order event furnishings and utilities.
  • Book hotels, airfare, car rental for event attendees.
  • Manage last minute travel changes.
  • Input all expenses into Concur on a weekly basis.
  • Receive and sort product post event.
  • Create and manage the corporate event calendar, to include:

-Schedule pre-event and post-event internal team meetings

-Updating shipping dates

-Updating sample request due dates

-All other event-related deadlines

  • Reach out to event attendees to send post-show shipping instruction.

-Manage Booth condition by:

-Inspect condition of booths on return to Marketing Department

-Post-show cleanout

-Order replacement parts for booths and coordinate booth repairs

-Restock booth inventory


Qualifications

  • Minimum of 1-year experience in trade show or event planning or equivalent experience
  • Experience with a project management software such as Wrike, Smartsheet and Asana.
  • Excellent organizational skills
  • Ability to work efficiently under multiple deadlines in a fast-paced, changeable environment.
  • Technologically savvy with a problem-solving nature
  • A collaborative and team-oriented disposition
  • Strong written, spoken, and interpersonal communication skills a must


Preferred Qualifications

  • Experience with CRM (Salesforce) and marketing automation systems.
  • Experience with Concur management.


Hourly Range: $25.00 - $30.00 per hour
