The Role

ETC is currently seeking an Event Operations Manager to join the Operations team. This individual will be responsible for pre-event coordination, execution, and post-event analysis. This individual will be composed, detail-oriented, and have superior conflict-resolution skills. He/She/They will work collaboratively with colleagues on the events operations, marketing, customer service, editorial and sales teams. Success in this role requires a diverse skillset that includes price negotiations, planning, creating, and managing globally recognized conferences, expositions and events. Reporting to the Director, Event Operations, the Event Operations Manager will support a wide variety of US-based events and conferences focused on education administration, education technology, agriculture and human resources.



Work from a home-based office is permitted up to 5 days a week.



Responsibilities:

  • Provide detailed planning oversight, management, and production of 2-4 events and expositions.
  • Manage logistics, expenses, and all production for assigned events, including pre-meeting planning, budgeting, on-site management, and post-event reporting.
  • Responsible for room set-ups, audio/visual arrangements, registration, telecommunications, food, and beverage selection, BEO/MEO review, conference signage, exposition production, sponsorship fulfillment and shipping.
  • Manage pre-, on-site, and post-event oversight of A/V vendors, telecommunication vendors, special events vendors, security firms, exposition/decorator service contractors, temporary staff agencies and conference speakers.
  • Employ sustainability practices through the planning process suggesting and executing practices to reduce event carbon footprint.
  • Prepare, develop, and manage budgets for meetings and assist with providing historical data and recommendations.
  • Manage housing for staff, VIPs and conference attendees.
  • Employ and leverage current and emerging meetings- and event-related technologies.
  • Benchmark and implement industry best practices in meetings and events organization, management, and logistics.
  • Serve as main POC between hotel/convention center representatives and all ETC departments at the conference sites.
  • Collaborate with Conference Program Specialist on speaker and conference chairs correspondence.
  • Collaborate with ETC marketing, customer service and trade show sales teams.
  • Actively participate and lead regularly scheduled meetings between all Conference employees.
  • Assist in editing and proofreading conference brochures and other materials.


Requirements

  • 2 years of experience with all aspects of conference planning and production (pre-event, on-site, and post-event).
  • 4+ years of experience in hospitality/meeting planning industry.
  • Possess a CMP or in process.
  • Proficiency using Microsoft 365, including Excel (intermediate), Word, Outlook, and Teams
  • Experience using project management and business efficiency software tools, including Wrike, Swap Card, and A2Z.
  • Excellent organizational skills, meticulous attention to detail, and commitment to meeting assigned deadlines.
  • Creative and effective problem-solving skills, including the ability to handle customer interactions and respond to problems with tact, patience, and professionalism
  • Ability to prioritize tasks and manage workflow.
  • Ability to work creatively within budget.
  • Experience working with employees and stakeholders at various levels of an organization is preferred.
  • Ability to communicate effectively, verbally and in writing, with internal staff, clients, and vendors.
  • Self-motivated team player.
  • Creating/implementing production schedules, BEOs, MEOs, room diagrams and staff agendas/scripts.
  • Ability to travel, including weekends (About 15-20%).



Physical demands of the job include:

  • Performing work in an indoor office environment
  • Operating standard office equipment such as computers, printers, keyboards, monitors, phones, and other telecommunications or internet-enabled communications devices
  • Possessing short-distance visual acuity to perform an activity such as: entering, preparing, and/or analyzing data and figures, transcribing, viewing a computer terminal, and/or extensive reading.
  • Lifting and carrying small to medium sized (0-20 lbs) parcels, packages and other items or traversing short distances. Traversing longer distances and/or standing for extended periods of time will be required during conferences and in-person events.



Position Type and Expected Work Hours

This is a regular, full-time role. Most work is typically conducted Monday – Friday, during ETC’s core business hours, between 9:00 AM and 5:30 PM. Travel to events is required, and work times will be extended during the lead-up to and through the live events.
