Base pay range

$100,000.00/yr - $140,000.00/yr

Our client, a private equity firm located close to grand central/ midtown NYC is looking for an Executive Assistant to assist with ad hoc administrative duties and projects/reconciliation. The ideal person will be a go-getter with the ability to thrive in a fast-paced/busy environment.

COMPANY: Investment Advisory Firm

POSITION: Executive Assistant

LOCATION: New York, NY

HOURS: 9am - 5pm (overtime eligible)

IN OFFICE: In general, 4 days in office / 1 day remote with potential for 3/2 depending on executive travel schedules

COMPENSATION: $100-140k base + paid OT + discretionary bonus + lunch + benefits

BACHELOR'S DEGREE: Preferred


Responsibilities of the Executive Assistant:

- Schedule and coordinate meetings, including organizing group meetings, setting up conference rooms, ordering food and beverages as appropriate, welcoming guests and cleaning up conference room after meetings

- Prepare/coordinate all materials for meetings & events, including pitchbooks, presentations, agendas, name tags, etc.

- Coordinate heavy travel & road show events, including hotel, cars, airfare, event space, etc.

- Prepare and reconcile expense reports

- Heavy phone coverage - answer, screen and handle calls as appropriate

- Input data into contact management system (Salesforce) (i.e. new contacts information, notes from meetings, etc.)

- Manage conference schedules

- Manage vacation and business travel logs

- Sort and distribute incoming correspondence

- General clerical duties including, copying, faxing, scanning and filing

- Provide backup coverage for other administrative assistants

- Special projects, as needed


Requirements of the Executive Assistant:

- Experienced administrative assistant, preferably 3-8 years of experience working in a team which supports multiple senior professionals

- College degree or equivalent experience

- General understanding of the finance industry preferred

- Excellent computer skills required; MS Office: Word, Excel, PowerPoint, Outlook, Concur a plus

- Database management experience preferred, particularly in Salesforce

- Excellent organizational skills and strong attention to detail

- Ability to multi-task when given time sensitive projects

- Must be self-motivated, self-directed, and proactive

- Strong sense of professionalism and strong work ethic

- Must work well under pressure

- Ability to prioritize workload and recognize importance of demands given by team

- Excellent communication skills, both verbal and written, including ability to communicate effectively and professionally with clients

- Discretion and ability to handle confidential, sensitive information

- Verifications of identity, education, prior employment, and references may be required
