Base pay range
Our client, a holding company, is seeking an Executive Assistant to support the CEO. The successful candidate must be well spoken, detail oriented, trustworthy, and highly proactive. The position ideally requires 8+ years of Executive Assistant experience supporting a C-Suite Executive. This person will be the true right-hand to the CEO and will be involved in all functions of the firm with light personal duties. The ideal candidate will be highly capable, intuitive, resourceful, and have the highest ethical standards.
Job Details:
POSITION: Executive Assistant
LOCATION: New York, NY (Penn Station adjacent)
HOURS: 8:00am/8:30am - 5:00pm-5:30pm EST, flexibility required (Hybrid 1/2 days remote and 3/4 days in)
COMPENSATION: 100-150k base (+bonus, 100% benefits covered, 401k and more)
DEGREE: Preferred
Responsibilities of the Executive Assistant:
-The Executive Assistant will contribute to the company’s success by providing high touch administrative support to the CEO
-This position is the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO
-Manage CEO’s schedule with a proactive lens and making sure principle is current on business needs with the senior leadership team in efforts to advance strategic business priorities
-Manage workflow and priorities for the principle and aligning priorities around schedules, anticipating needs and keeping them focused on the most important projects
-Completes projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving and adjusting plans
-Assists with preparation and follow up for internal, external and board meetings
-Applies the utmost discretion to the most sensitive company information that others within the company may not be privy to
-Schedules meetings, arranges appointments, and manages the CEO's calendar
-Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature
-Maintains a high level of service even when directing inquiries away from the executive to help better manage their calendar and activities
-Prepares and researches presentations, emails, announcements, and other correspondence and reflects the CEO's style and professionalism when doing so
-May at times assist with personal activities
-Arranges corporate travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging and meeting accommodations
-Answers telephone calls, email requests and drafts written correspondence on the CEO’s behalf
Requirements of the Executive Assistant:
-Completed 4-year degree preferred
-8+ years of experience supporting C-level executives and/or corporate upper-level managers
-Strong organizational skills and detail orientation
-Excellent oral, written communication, and presentation skills (Ability to draft, proofread and edit documents for spelling, grammar, and punctuation)
-Demonstrates highest level of maturity, professionalism, and judgment
-Ability to manage CEO’s fluid and ever-changing calendar
-Ability to use discretion when dealing with information of a sensitive or confidential nature
-Actively participates and collaborates with others throughout the organization
-Uses business knowledge, innovative thinking, and sound judgment in the solution of problems
-Consolidates information from various sources including feedback from others to reach sound decisions
-Proficient in the Microsoft Suite and PowerPoint knowledge a plus
-Verification of identity, education, prior employment, and references may be required
