Executive Assistant

We are seeking a highly organized and proactive Executive Assistant to support our executive team. This role requires extensive travel (50%) across North America and exceptional communication skills, particularly in interacting with C-suite executives.

Key Responsibilities

  • ⁠ ⁠Travel Coordination:
  • Manage and coordinate travel arrangements for executives, including flights, accommodations, and ground transportation.
  • Prepare detailed itineraries and ensure all travel plans are seamless and efficient.
  • ⁠ ⁠ Communication:
  • Act as the primary point of contact between executives and internal/external stakeholders.
  • Prepare, review, and manage communications, including emails, memos, and reports.
  • Facilitate effective communication within the C-suite and with other departments.
  • ⁠ ⁠ Meeting and Event Planning:
  • Organize and coordinate meetings, conferences, and events, both in-person and virtual.
  • Prepare agendas, take minutes, and follow up on action items as needed.
  • ⁠ ⁠ Administrative Support:
  • Manage executives’ calendars, schedule appointments, and handle confidential information with discretion.
  • Perform administrative tasks such as filing, data entry, and expense reporting.
  • ⁠ ⁠ Project Management:
  • Assist with special projects and initiatives as assigned by the executive team.
  • Conduct research, compile data, and prepare reports to support decision-making.

Qualifications

  • ⁠ ⁠Proven experience as an Executive Assistant or in a similar role, preferably supporting C-suite executives.
  • ⁠ ⁠Excellent communication skills, both written and verbal, with the ability to interact professionally with all levels of an organization.
  • ⁠ ⁠Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
  • ⁠ ⁠Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • ⁠ ⁠Ability to handle confidential information with integrity and discretion.
  • ⁠ ⁠Flexibility to travel extensively (50%) across North America.

Preferred Qualifications

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • ⁠Experience in event planning and project management.
  • ⁠Knowledge of travel logistics and familiarity with North American destinations.
