A dynamic law firm in Chicago is seeking a highly skilled and motivated Executive Assistant to join the team. This role will support two C-level executives. The ideal candidate will play a crucial role in supporting the team by managing a wide range of administrative tasks, coordinating busy schedules, and handling special projects. Key Responsibilities of the Executive Assistant:

  • Perform a variety of administrative duties, including scheduling meetings, coordinating vendor and guest arrivals, handling mail and packages, making travel arrangements, managing individual expense reports, and reconciling department expenses.
  • Coordinate busy calendars for attorneys and staff, ensuring efficient time management and prioritization of tasks.
  • Manage all aspects of meeting logistics, including calendaring, preparation of materials, and coordination with catering, reception, and technology teams.
  • Conduct research for various operational, industry, and marketing/events projects, providing valuable insights and support.
  • Prepare and edit PowerPoint presentations, ensuring they are visually appealing and aligned with firm standards.
  • Perform high-level Excel tasks, such as creating pivot tables, macros, and data validation, to support data analysis and reporting.
  • Assist with ongoing updates to policies and procedures, maintain firm contracts, and manage department Intranet pages.
  • Help conduct and gather firm-wide surveys, analyzing outcomes to support decision-making and strategic planning.
  • Provide support for special and confidential projects as needed, demonstrating discretion and professionalism.
  • Take on other duties as assigned, contributing to the overall success of the firm.


Qualifications of the Executive Assistant:

  • 3-5 years of experience
  • Bachelor’s degree required
  • Strong organizational skills, attention to detail, and the ability to communicate effectively
  • The ability to multitask, prioritize workflow, and manage own desk independently
  • Proficiency in Microsoft Office Suite programs, including Word, Outlook, Excel, and PowerPoint
  • The ability to work well with people at all levels and with minimal supervision
